Tips for Planning an Outdoor Event

Outdoor events are great for bringing people together, but they also take a lot of organization to run smoothly. Use these tips to plan your next outdoor event.

Tips for Planning an Outdoor Event

Putting together an outdoor event can be fun, but it also requires a lot of careful consideration. You want to ensure that your guests are comfortable so that they can enjoy themselves unimpeded by annoyances or problems. These are valuable tips for planning an outdoor event that you can use as a guide when you don’t know where to start.

Consider the Weather Forecast

Since you’ll be holding your event outside, it’s vital to consider the weather forecast. Ideally, you’ll want to set the date of your gathering on a day when there isn’t any rain, snow, or strong wind. Monitor the weather well in advance with online weather stations or applications to do this. Even with this precaution, you should still prepare for the possibility of bad weather by having a backup plan. For instance, you can think about how you could relocate an event to a nearby indoor venue area. Tents are also good to have because they’ll provide cover without forcing you to change your setup.

Account for COVID-19 Safety

Another tip for planning an outdoor event is accounting for COVID-19 safety. Current circumstances have made it necessary to enforce social distancing at events for everyone’s health. As put together an event, you should provide enough space so that separate households can remain at least six feet apart whether people are standing or sitting at tables. For food, you should provide individual plates and disposable utensils rather than arranging a buffet-style self-serve system. If it’s going to be cold and you need to use tent walls to retain some warmth, make sure that you still allow for proper ventilation as well.

Plan the Layout Thoroughly

Outdoor events call for lots of equipment since you’re not working with a preexisting structure as you are in indoor spaces. Most likely, you’ll need to figure out how to connect together sound systems, lights, heaters or fans, and other electronics. This might require a generator or careful cable management with existing outdoor outlets. You must also bring out or rent things like tables, chairs, and tents as well. Coordinate with the vendors and venue you’re using to minimize the risk of miscommunication as your event day approaches. Planning your layout thoroughly will help you circumvent surprise difficulties, since there’s so much you need to organize.

Tents For Rent can simplify your planning for an outdoor event by taking care of the setup and tear-down of a tent and other related equipment. Call us today for tent rentals in Reading, PA.

What Size Tent You Need Based On Your Guest Count

Planning an outdoor event requires calculating how many tables and chairs to set up, and what size tent you need based on your guest count. Here’s a guide.

What Size Tent You Need Based On Your Guest Count

When you’ve decided to hold an outdoor event, you have a little math to do. Your guest list will determine how many tables and chairs you need. It also determines the size and type of tent you should rent to provide shade and shelter.

What size tent you need based on your guest count is just one necessary calculation. Add the space for buffet tables, a dance floor, a bandstand, or a table for a DJ. You may need more space for bars, wait staff, and bussing dishes. A cake table, cocktail tables, or a table to place a guest book for attendees to sign may also require space. Here’s how to figure out what size tent to rent.

Eights and Tens

Tents are measured in square feet. They’re usually rectangular, but some are squarer in shape, depending on the size.

A tent that is closer to a square enables better sightlines and mingling than a long, rectangular tent. Tent measurements may start at as little as 10 feet by 10 feet, and go up in 10 square foot increments to tents as large as 12,000 square feet or more.

Tent size based on how many guests you have means you must take the seating chart into consideration. Guest calculations use the standard of 8 guests per 60 inch round dining table. For every eight guests, you need a 10-foot by 10-foot area (100 square feet). That means if you’ll be having 120 guests, you need 100/8, or 15 tables. If your calculation results in a fraction, round up.

If you’re seating guests at long tables, calculate 80 square feet per 8 guests. If you’re planning a head table for a bridal party, determine the number of people who’ll be seated there, including the bride and groom or other guests of honor. Divide that number by 4, and you’ll have the number of 8-foot tables you’ll need to form the head table.

Buffets, Bars, and Bands

Once you’ve determined the amount of space you’ll need for guests, add in the square footage you’ll need for 8-foot buffet tables. Calculate 100 square feet for each 8-foot buffet table to provide enough space for the line and servers.

Ask your caterer for a recommendation about the necessary space. You may find that you’ll need more space to accommodate centerpieces, carving stations, or desserts. Then, add square footage for your dance floor, plus extra space around it, so guests aren’t crammed right up next to the band or the dancers.

Add all your calculations together for the total square footage you’ll need for your event. Your tent rental company should be able to provide a variety of suggested layouts for your tent, so you can visualize where tables will go, the position of bars and buffets, and the dance floor and band areas.

Tents for Rent provides tent rental in Harrisburg, Pennsylvania, and the surrounding region. We can help you determine the size of the tent you’ll need for a comfortable and successful event.

How to clear snow from a tent

It looks like there is a snow storm in the forecast, and we need to be sure that snow doesn't accumulate on the tent. There are several ways to handle the snow.

It looks like there is a snow storm in the forecast, and we need to be sure that snow doesn't accumulate on the tent. There are several ways to handle the snow:

  • Heat the tent to 70 degrees during any snowfall to melt the snow off the tent as it falls. This is the easiest method and it's what we recommend. Please take a moment to be sure that your propane tanks are at least 50% full so that they don't run empty during the snow storm.

  • Remove the snow manually yourself. This saves cost, but it is very time consuming and requires someone to be onsite 24/7 to keep the tent clear of snow. It is also very important to use a tool that is soft and not sharp so that the tent is not damaged. A soft broom or plastic snow rake works well. If you'd like us to remove the snow for you, we may be able to arrange that. Just call us to discuss.

Feel free to call us to discuss the details. We are on call 24/7. So, please let us know right away if you have any issues with your tent or the heaters.

Best Tips To Plan an Intimate Wedding

Weddings got small, and many were held outside, in 2020. Use these best tips to plan an intimate wedding to make your small wedding memorable.

As 2020 draws to a close, it looks like changes in wedding ceremonies will extend into 2021. Small and intimate, and outdoors if possible, are the keys to wedding ceremonies where family and guests can celebrate safely. Here are our best tips to plan an intimate wedding.

Cut the Guest List To Family and Close Friends Only

Everyone will understand why your third cousins and your parents business partners won’t be included in your wedding. Trim your guest list to just close family and best friends. An intimate wedding allows couples to focus on making the ceremony personal and meaningful. It also frees up the budget to show more appreciation to guests, spend more time with them at the reception, and splurge on some extras like more flowers or a special dessert table.

Lose the Bridesmaids and the Groomsmen

An intimate wedding doesn’t need a big parade of attendants. One best friend to serve as maid or matron of honor, and best man (or bridesman and groomswoman) is fine for an intimate event. Siblings can serve, or that one lifelong pal that has been with you through thick and thin.

Choose a Small Venue

A small wedding can get swallowed up in a big hall. Find a venue with very limited capacity, or an outdoor location that can be set up to accommodate your trimmed guest list, where everyone gets a great view. If there is a location that is especially meaningful to you, like the park where you met or by the shores of the lake where you became engaged, return there for the ceremony.

A lovely way to plan an intimate wedding is to transform your own backyard into a magical, intimate venue with a tent rental. Tents For Rent provides year-round wedding tent rentals in Pennsylvania. Tents can be heated in cold weather.

Write Your Own Vows

Many like to have the traditional words spoken by the officiant, but adding your own vows expressing your love and devotion in heartfelt words will draw your family and friends into the moment in a very memorable way. You honor each other and your guests by sharing your feelings for each other with them.

Provide Personalized Favors

You’ve chosen your nearest and dearest to witness your marriage. Show your appreciation with handwritten place cards and party favors chosen specifically for each guest. Everyone should receive a keepsake to take home with them to remember your special day, whether it’s a seashell from the beach you were married on, or a decorated pinecone from the forest venue you chose. Make goody bags that reflect your style as a couple. Include your favorite chocolates, and a personal note thanking your guests and telling them how special it was to have them witness your event.

Troubleshooting an L. B. White tent heater video

If you’re having trouble with your tent heater, there are a few simple things you can try.

When heating a tent, there are occasional issues that cause the heater not to work properly. Here are a few easy things to check:

  • Is power getting to the heater? You can confirm this by plugging something else into the same outlet and be sure it powers on.

  • Is the power switch in the “up” position?

  • Normally the thermostat switch should be in the “down” position, but you can eliminate the thermostat by switching it to “manual”. Note that the heater will run continuously.

  • Confirm that the gas valve on the propane tank is open.

  • Be sure that nothing is obstructing the airflow either at the intake vent on the end of the heater or on the heat side. If the duct goes around a corner or is not smooth and straight, it can restrict airflow. If that is the case, the overheat reset button may pop.

  • Open the end panel on each end of the heater with a flat screwdriver. Inside each end, is a small red reset button. Press it firmly.

  • Turn the heater off and on again.

If it still does not heat, call us at 717.733.9700. We have someone on call at all times and we will return your call promptly if you leave an emergency message.

The Best Tents for Small Events

No matter the size of your gathering, a tent rental can transform your party. Learn more about the best tents for small events with this rundown.

The Best Tents for Small Events

When you think of renting an outdoor tent, what kind of event do you have in mind? Tent rentals are popular options for outdoor weddings, company celebrations, and other large-scale gatherings. However, you don’t need to host a massive party to benefit from an outdoor tent. Backyard barbecues, birthday parties, and other small events are also great reasons to rent a tent. No matter how large your venue is or how many people are on the guest list, a reliable tent rental can add shelter and decoration to your party. When you rent a tent for a more intimate gathering, there are a few things to keep in mind. Check out these best tents for small events to find the perfect rental for your upcoming party.

Pole Tent

The pole tent is the classic option for any sized gathering. These durable structures are quick and easy to set up anywhere and allow you to drive stakes into the ground. The use of stakes makes pole tents extremely secure—some can even withstand up to 90 miles per hour gusts of wind. At the same time, pole tents provide a tall, airy space for you and your guests to hang out. The high peaks of the ceiling mean you’ll never feel crowded, even within smaller pole tents.

Frame Tent

Frame tents do not require you to drive stakes into the ground, which means you can install them in a wider range of venues. These tents work perfectly on patios, decks, and driveways, making them great additions to any small house gatherings. The lack of interior poles also makes it easier for guests to move through and around the tent, allowing you to make the most of the smaller space.

Sailcloth Tent

Sailcloth tents add a touch of elegance and beauty to any event, no matter what size you rent. The sheer fabric of the top allows natural light to filter into the tent. This, in turn, makes the space feel bigger and airier. At the same time, the durable structure and material effectively shelter you and your guests from unexpected wind and rain, so you can continue to enjoy your gathering in any kind of weather.

No matter which of the best tents for small events you choose, make sure you rent from the best. Tents for Rent has the tents, lighting, furniture, and utilities you need to make every gathering a party to remember. Find the best tent rentals in Philadelphia by reaching out to us today!

How we patch holes in asphalt video

When we install tents on asphalt, we can secure them with concrete weights or by driving stakes into the asphalt.

After we remove the stakes, we repair the holes by filling them with crushed stone and topping off the hole with asphalt cold patch.

When we install tents on asphalt, we can secure them with concrete weights or by driving stakes into the asphalt. Most customers choose to have us drive stakes into the blacktop because it’s more economical, faster and more secure.

After we remove the stakes, we repair the holes by filling them with crushed stone and topping off the hole with asphalt cold patch. Then we tamp it down with a sledgehammer.

This creates a durable patch that is barely noticeable. Over time, it fades and becomes even less noticeable. Often when we come back a year later to install a tent at the same location, it’s difficult for us to find the holes to reuse them.

Fun Ways to Decorate Your Event Tent Rental

One of the most entertaining and exciting steps of planning an event is decorating. When you rent a tent to hold your event and shelter your guests from rain or the glaring sun, you also get the benefit of a blank slate to decorate.

One of the most entertaining and exciting steps of planning an event is decorating. When you rent a tent to hold your event and shelter your guests from rain or the glaring sun, you also get the benefit of a blank slate to decorate. While current events might put your gatherings on hold, it’s a good mental break to daydream about planning your next big party or ceremony. You can turn your tent rental into a gorgeous setting for any circumstance with these fun ways to decorate your event tent rental.

Create the Ideal Atmosphere With Clever Lighting

The way you light your tent ties together the entire area and atmosphere. No matter what style or theme you want, there’s a lighting solution that will work perfectly. Warm, white string lights are a popular choice for any occasion. You can create mason jar lanterns for a more rustic feel or hang chandeliers for an elegant aesthetic. Add a colorful glow with paper lanterns or globes. How you light your tent will complement your other decorations and bring everything together in picture-perfect way.

Add a Natural Touch

Flowers and other greenery are a traditional decoration for weddings and other ceremonial events, but they can work wonderfully for any gathering. Your favorite flower can add a splash of color in garlands or centerpieces. You can also keep things classic and dignified with simple white flowers. Alternatively, lean into a more natural appearance with plenty of greenery or harvest colors. The wide variety of flowers and greenery you can use provide endless fun ways to decorate your event tent rental. Plus, these natural looks work beautifully for any outdoor event.

Pick the Perfect Color Scheme

A color scheme helps keep your decorations from looking like a chaotic mess. A well-organized theme with a couple of organized colors gives a classic sense of style, making it perfect for weddings or other ceremonial gatherings. However, having a color theme doesn’t mean your choices have to be overly serious. You can create a fun, bold environment with multicolored balloons, streamers, and other decorations. This decorating style works great for birthdays, seasonal parties, and other more casual celebrations. No matter what you do, having an overall color scheme in mind helps you find options that tie together perfectly.

Top Ten Tips to Plan an Outdoor Dining Area

As warm weather approaches, people are looking forward to spending more time outdoors. This year, let them enjoy the outdoors while dining at their favorite restaurant. If you’ve never had an outdoor dining space before, here are my top tips for creating a space outdoors that your customers will love.

As warm weather approaches, people are looking forward to spending more time outdoors. This year, let them enjoy fresh air while dining at their favorite restaurant. If you’ve never had an outdoor dining space before, here are my top tips for creating a space outdoors that your customers will love:

  • Choose a beautiful space. If people enjoy the scenery, the food will taste better. You may need to do some landscaping, painting or decorating to make everyone feel at home in the outdoors. If your outdoor dining space is visible to passers by, it can even serve as free advertising. Speaking of free advertising, an attractive outdoor space invites your customers to share pictures on social media and bring in more business.

  • Light the space. It’s amazing how much difference accent lighting can make in beautifying a space.

  • Make the space comfortable. Depending on the season, this may mean adding heaters and fans or opening and closing the tent walls based on the weather. Side walls that are kedered slide open and closed in a track and will make life much easier for your staff.

  • Speaking of comfort, choose inviting furniture. Proper furniture is durable even in damp conditions and adds to the outdoor ambience.

  • Cook outdoors. If possible, prepare the food in front of your guests. It will engage them and encourage food transparency.

  • Prepare for all types of weather. A sturdy awning or commercial tent with walls can make the space usable in all kinds of weather. Some restaurants use a tent only during the colder season. Others keep it in place all summer to offer shade and protection from rain.

  • Plan for customer flow. Will people enter through the restaurant or enter the tent directly? Will one hostess seat guests both indoors and outdoors?

  • Plan waitstaff access. Make it easy and fast to access your outdoor space from the kitchen. This will make the lives of waiters and waitresses easier as well as increase customer satisfaction and speed of service.

  • Obtain the proper permits, and be sure to follow local rules and regulations.

    • Many areas will not allow a tent to be in place more than 180 days out of the year. Tent permits may also be required. Your tent provider can help you with this process.

    • Of course all food safety regulations apply as well.

    • Be sure to follow any local noise ordinances.

  • Advertise your patio. Mention your outdoor dining space in all your marketing both inside the restaurant and online. Yelp even has a special category for restaurants with outdoor seating.

Tents For Rent offers tents for long term tent rentals as well as new or used tents for sale. Contact us today to find out how to plan a successful patio dining space.

It’s best to prepare for any circumstances, especially bad weather. Sailcloth tents are a great way to let your event continue even during rain or heavy winds. A tent will keep you and your guests dry, protect your decorations, and let the party go on even if the weather doesn’t unfold the way you want it to.

It Goes with Everything

One of the top reasons to rent a sailcloth tent is the versatility it provides. White sailcloth tents are a neutral base that you can customize to fit any theme. Do you want a beach-themed wedding? How to Prepare Your Outdoor Wedding for Bad Weather

Everyone wants the perfect wedding, but sometimes life has other plans. Make sure your big day is still a success with these bad weather preparation tips.

Everyone wants a perfect wedding. You and your partner have spent months planning everything from vows to venues, so when the big day arrives, you want everything to run smoothly. Unfortunately, you may not be able to completely control that. Complications are a normal part of any big event, and your wedding may not be an exception. There’s no need to panic, though. Even if the weather doesn’t cooperate, you can still make the most out of your special day. Here’s our advice for how to prepare your outdoor wedding for bad weather.

Make a Backup Plan—for Everyone

A lot of people have to work together to make your big day run smoothly, and any bad weather will affect all of them. While you’re planning your wedding, be sure to talk to your wedding staff—caterers, photographers, and anyone else you hire—and come up with a bad-weather plan. Figure out what to do with your decorations, or avoid any issues by using waterproof tablecloths and other decorations from the start. It’s also a good idea to consider backup locations. Think about your ceremony as well as your reception. Can an outdoor tent work for both? If so, where will your guests stay while your team rearranges between the ceremony and reception? When you address these concerns ahead of time, you’ll be better prepared for anything that happens on the big day.

Don’t Worry Too Much

Rain or shine, perfect day or total chaos, you’re still going to end your wedding day married to the love of your life. The most important part of how to prepare your outdoor wedding for bad weather is to simply stay positive. Even if it rains, you’ll still spend the day surrounded by friends and family—you’ll probably even get some great photos or stories out of the experience.

If you’re planning the perfect outdoor wedding, you can prepare for bad weather with our wedding tent rentals in PA. No matter what your big day brings, our quality tents and excellent service can help you make it a cherished memory for you and your future spouse.

3 Tips for Running a Food Festival Stand

Food festivals are fantastic opportunities for you and your restaurant. Make the day a success for your business with these tips for hosting your food stand.

3 Tips for Running a Food Festival Stand.jpg

Warmer weather is just around the corner, which means it’s time to gear up for food festival season. Food festivals are a great place to promote your restaurant, show off your delicious menu, and connect with hundreds—if not thousands—of potential new customers. If you plan to take your restaurant on the road this year, make the most of it with these tips for running a food festival stand.

Plan Your Layout Ahead of Time

Food festivals are busy, hot, and packed with people, so it’s important to prepare. Make sure you know exactly what you’re doing ahead of time. Start by figuring out your tent space. What size do you need? Do you want extra space for patrons to gather when waiting or eating? What kind of decorations and branding do you want to set up? Think about what equipment and supplies you need, and layout will work best for your space. You should also look at the venue to find out how close you are to a power supply, so you know what kind of cords or generators you’ll need.

Focus on Your Business

One of the biggest tips for running a food festival stand is to treat it as a marketing opportunity. Everything that you do at the festival should both reflect and promote your business. Make customer service a priority—even when you’re dealing with a massive rush. Take time to talk to your customers as you prepare their plates. Do your best to mention your restaurant—where it is, who you are, and how people can get more of the delicious food they just ordered. Speaking of food, limit your menu to just a couple of your best-selling options. This makes serving easier while also showing off the best items you have to offer.

Prepare for Setbacks

As with any event, there is plenty of potential for things to go wrong at a food festival. However, with the right planning and attitude, you can take any setbacks in stride and still make a successful day out of it. Anticipate the busy day by hiring plenty of staff and bringing extra ingredients and supplies. Prepare for rain or windy weather with a sturdy tent—festival goers will flock to you in the event of a storm. When you prepare for setbacks and issues in advance, they’re far less likely to ruin the day if they occur.

If your restaurant is looking to participate in a food festival, give yourself the best equipment for the event. Check out our tent rentals in Philadelphia and its surrounding areas to find the perfect setup for your food stand.

5 Factors to Keep in Mind When Looking for a Tent to Rent

Want to host an outdoor party? Many tent rentals Lancaster PA residents trust offer experienced agents to help you chose a tent perfect for you and your guests!

Hosting an outdoor event is a nerve-wracking experience. There is so much to be done. So many guests to satisfy and, let's face it, impress. You don't want to plan a backyard party and have your guests baking in the sun- or, worst-case scenario, having your party disrupted by rain and other unforeseen weather conditions. This is why you should make renting a tent the top priority of your planning process.

The kind of event you're hosting will determine the type of tent you should rent. Is it a backyard wedding? Is it a small anniversary celebration? Here are five factors you should consider when renting a tent from the best tent rentals Lancaster PA has to offer.

1. The Number of Guests

Before renting out a corporate event tent, you must know what your guest count will be. Tent rental services are experts at determining the amount of tent space you'll need to fit all your guests comfortably. Typically, you'll need 100 square feet of tent space for every eight guests if you'll be using round tables, and 80 square feet if you plan on using long tables.

2. Convenience

When working with a tent rental service, you must go for both convenience and quality. If you can, find a service that's in your neighborhood. This will ensure that setting up will take much less time since the company is close to the party venue.

In case anything happens during the party, such as an unexpected higher number of guests, it will be quicker to get in contact with your rental service. Also, the costs of transporting all this party gear to the venue will be considerably less the closer you are.

3. What Is the Seating Plan?

It's crucial to keep the seating plan for the party in mind when looking for a backyard party tent for rent. Will there be a separate table at the front? Will you have a buffet area? A dance floor? A small podium?

All these questions must be factored in the final measurement since they will require tent space of their own. It would be a good idea to include a buffer between the stage area and the food tables to ensure your guests aren't seated too close to either area. It's advisable to round up when making your calculations. This way, your guests will have enough room to move around and sit comfortably.

4. The Installation Process

Before signing off on your tent rentals Lancaster PA residents recommended to you, you should make sure you're on the same page considering the installation process. Typically, tent rentals have a team of people that can help with transporting and setting up the tent.

However, it's essential to agree on all these details beforehand. This will ensure you know precisely how much money you'll spend on installation, making it possible for you to make an accurate budget. You don't want hidden costs springing up on you at the last minute.

Before You Go

There are two main types of tents: frame tents and pole tents. The option you choose will depend largely on your preferences and on the kind of event you're hosting. If it's in the middle of the summer, pole tents are an incredible option since they are open. Frame tents are much better for garden weddings and night backyard parties since they provide an enclosed space.

Many tent rentals Lancaster PA residents trust offer experienced agents that will help you choose the best tent for the party you're throwing. These companies even have options to customize your tent with different lighting and multicolored drapes.

Hosting an outdoor event need not be as complicated as we make it out to be. Contact your tent rental company today to make sure your party is a success.

Factors to Consider When Planning an Outdoor Event

Considering hosting an event during the warm weather months? Host the event outdoors with the help of these outdoor event planning tips.

Since summer only lasts a few months each year, you should make good use of it while it lasts. If you have an upcoming event, like a wedding or graduation, hosting it outdoors is a brilliant idea. Talk to a tent rental company and let your guests enjoy the fresh air.

Factors to Consider When Planning an Outdoor Event

Here are few tips will help you have a smooth sail while planning an outdoor event.

1. The Type of Event

An outdoor venue could work perfectly for some events, and not others. For instance, if you are planning a tech event, your guests will require to use electronic devices a lot. Therefore, that rules out the possibility of hosting an outdoor event.

However, if you can achieve all the objectives of your event from an outdoor venue, go for it.

2. Backup for Bad Weather

Sometimes, the weather might turn against your expectations. To avoid being disappointed, have a backup plan. Rent a tent so that everyone gets cover in case it rains or the sun becomes too scorching. Tent rentals in Philadelphia are readily available. Apart from the rain, winds could also blow your set up away. Therefore, fasten down your event tents and any other loose items.

3. Guests’ Comfort

While hosting an outdoor event, you want to ensure that your guests are having maximum fun. Therefore, while planning, ensure that your guests, as well as staff, can communicate. In case Wi-Fi is not reliable, consider bringing a hotspot.

Make sure there are enough seats, toilets, and air conditioning. In case the event runs through the night, provide blankets. Also, be ready with bug spray, hand sanitizer, and sunscreen just in case someone needs them.

Remember to check if your venue has adequate parking. For efficiency, you can appoint someone to handle traffic control.

4. Legal Issues

Having selected the appropriate place for your event, check whether you require any permits to host one there. If yes, apply for them right away. The last thing you want is your event being interrupted due to non-compliance with the law.

Check out any other local rules such as fire codes and noise so that your party remains legal.

5. First Aid Considerations

Accidents can happen during the event. While planning, find out the nearest emergency medical facilities as well as their contacts. Also, carry necessary first aid supplies. If the event is on for a long time, you can even have medical professionals present.

How to Decorate Your Outdoor Event Tent

The first thing guests will notice in tented events is the decorations. You can work hand in hand with your tent rental company to transform the tent from ordinary to a stunning masterpiece. Here are a few trendy ideas:

1. Lining the Sidewalls

If you have sidewalls on your event tent, you can drape fabrics from the top of the wall. You can let them flow to the ground, or create arches, or do both. To add icing on the cake, you can use strings of LED lights to illuminate the fabric colors.

2. Room Dividers

Room dividers create an illusion of a larger space. They also make your event more organized since guests can spot specific areas, such as the dance floor. You can accentuate the dividers with flowers or fabric.

3. Chandeliers

Chandeliers are elegant and fit for any type of event. Besides, they ensure that your event remains well lit.

4. Pole Draping

You can run vines or flowers from one upper main support and draping it to other supports. Alternatively, you can let them hang freely. However, ensure that they do not hinder movement to avoid accidents. You can consult your tent rental company in advance to determine the best drapings.

5. Floor Level Pieces

Depending on how long your event will last, you can add charm by using ottomans, throw pillows, or even mirrors. Do anything to keep your guests entertained throughout.

Make Plans in Good Time

Just like any event, the success of your event depends on how well your plans are. It is recommended to always avoid a last-minute rush. Ensure that you contact a tent rental company in advance to make your booking. Moreover, you can use venue photos to plan a layout of your event, have enough time to clean, and set up everything. Enjoy!

4 Types Of Wedding Tents and How To Choose The Right One For Your Event

Planning an outdoor event? Take a look at these four types of outdoor tents to ensure your next party or event is the best it can be.

Wedding tents have many advantages over having the event in any other venue. The canvas offers an opportunity to try out different types of decor and designs. Unlike traditional locations like the church, it is much easier to create a more specific ambiance.

A good wedding tent should protect you from the elements and enhance the beauty of the location. When going for tents, you need to consider factors such as size, occasion, and aesthetics, among others. Here are some of the different types of tents you could choose from for your wedding.

Pole Tent

Pole tents are among the most popular of the wedding tents due to its affordability. The center pole raises the ceiling high, while side poles provide stability. Thanks to its height, you can install chandeliers and other fancy lighting fixtures to boost the interior decor.

One advantage of a pole tent rental is that it is affordable, thanks to its ease of installation. They are common for gardens, estates, backyards, and wineries. Pole tents have fewer parts that are easier to pack and transport to the venue.

However, the structure of the tent means that it is not suitable for concrete or stone. So it is difficult to install it on a patio and only suitable for grass or soil. You may need special stakes or support for more solid grounds. Also, the position of the poles can obstruct views for your guests. During installation, the posts can take up a significant amount of space.

Frame Wedding Tents

Frame wedding tents are probably the second most popular tent after pole structure. It is a freestanding party tent that uses a framework of bars for support. The tension from the frame is supplemented by cross-cables that provide extra stability.

The main advantage of frame party rental tents is that they have a functional interior space. There are no posts in the middle of the tent to obstruct the view. They are freestanding, which means they can be installed on various types of flat surfaces, including concrete and stone. Its aesthetics are also simple but elegant.

On the other hand, frame event tents do not have high ceilings. That means it may be trickier to install chandeliers and lanterns for your outdoor event. They are also significantly more expensive to transport and install due to the extra parts that you require for construction.

Sail-Cloth Tent

Sail-cloths are similar to pole tents in design and structure. But sail-cloth wedding tents are made of a light fabric. The material allows soft light to go through it during the day, creating a unique ambiance inside. At night, it provides a dramatic glow when the lights are on.

Sail-cloth party tents have sculptured poles that add to its unique aesthetics. Even though the fabric material is lightweight, it is also water-proof and capable of offering total protection against the weather during your big day.

The main disadvantage of the sail-cloth wedding tents is that they need a suitable ground to be installed properly. They often come with wooden poles that might not work very well on sand, concrete, or stone.

Walled Tents

Walled tents are simply tents with added walls on the side. They may have windows to provide lighting and to create an ideal indoor ambiance. They are suitable for situations where the weather is unpredictable.

Other than protection from the harsh elements, the walls can block an undesired view. You can open one side to direct the focus to attractive natural phenomena like mountains and rivers. The other side can stay closed to cut off the view from people, cars, or other distractions. It is suitable for places where noise or movements around the venue could ruin an otherwise relaxing event.

In Conclusion

There are different types of tents you can choose for your special occasion. It will mostly depend on what you want in terms of aesthetics, size, and extra features. Tents for rent can provide the most durable tents delivered and installed with the highest level of service.

5 Reasons to Host an Outdoor Super Bowl Party in 2020

Throwing an outdoor party gives you enough room to host more people.

By Natalie Greenberg

The biggest event of the football season takes place Sunday, Feb. 2, this year. For diehard NFL fans, Super Bowl Sunday is a given, but even those who are casually interested — or not at all — enjoy a good party complete with all the trimmings. Throwing an outdoor Super Bowl party is easy because when you celebrate outdoors, you can invite as many people as you wish.  Show off your true fandom and get ready to punt!

1. The Great Outdoors

Football is an outdoor sport, and with Super Bowl LIV being played in Miami, you can get the true feeling of being at the game. Set up a big projector screen and grab a bunch of stadium blankets. While the trees aren't blooming like the ones in Miami, you and your guests also won’t have to deal with lawn pests that plague us in the summer. You can still mimic the Florida climate, by putting some space heaters under a large tent. Show off your patio, pergola, deck, and other backyard amenities.  Coolers won’t need much ice. If your home has an outdoor kitchen, you won’t have to run back and forth to replenish the food and beverage supplies.

2. More Space

Throwing an outdoor party gives you enough room to host more people. The more the merrier! (Especially on a cold winter night, because the more people wandering around, the warmer it will feel outside). When you’re outdoors, people have enough room to stand up and cheer.

3. Food

Outdoor parties give you more options on what to serve. Fire up the barbecue and keep the hot dogs, burgers, and chicken wings coming. It's also easier to serve other stadium favorites such as nachos, fries, tacos, and some healthier salads, cheeses, and wraps. When you’re outdoors, pass the spatula to your friends so they can help with the cooking. Get out of the kitchen!

4. Clean-Up

Cleaning up after a party can be a huge drag, but when it’s outdoors, the trash and debris are less of a hassle. Your indoor carpets won’t get grimy from people trampling on them. Assign a groundskeeping “crew” to go around collecting trash so that it won’t be so overwhelming to deal with when the party's over. Setting up sanitary outdoor restroom facilities keeps too much traffic away from the house bathrooms. Being outdoors means less of a mess indoors.

5. Socializing

If you’ve been looking for an opportunity to get to meet your neighbors, this is it! They’ll be peeking over the fence, why not get to know them? And partying outdoors in cooler temperatures is great to bring people out of their shells. Before long, chances are even the shyest guests will be rooting for their favorite and opining about that lousy call by the ref, who clearly is blind. It was interference! Super Bowl Sunday is not only about football – it’s a reason to party!

Tips for Throwing a Great Super Bowl Party Outdoors:

●     Set up a lot of comfortable seating in front of the big screen.

●     Have a few games out for those not interested in the game. Some folks just love to eat and watch the commercials!

●     Check with your local municipality to be sure there are no restrictions on how big an outdoor party can be. If you have a lot of people, you may need a permit.

●     Be sure to have enough space for parking.

Whether you or your friends enjoy watching the big game (or the commercials), the Super Bowl is a fun way to celebrate life in the dead of winter. Checking out the halftime show might be fun, too.

5 Ways to Celebrate Spring With an Outdoor Party

Need an excuse to have a party in the spring? Check out these tips for hosting an outdoor spring party with tent rentals to battle any weather.

Traditionally, spring was viewed as a time of renewal and rebirth. Winter is over. Flowers bloom and fields are planted.

However, spring has a shortage of holidays that make for natural reasons to party. From the spring equinox in late March to the summer solstice in June, there is only one nationally celebrated holiday — Memorial Day. And even Memorial Day is more associated with the end of the school year and the beginning of summer than a spring holiday. Nevertheless, here are five reasons to host an outdoor party this spring:

Spring Wedding

Most weddings are now held in the late summer and early fall, with October, September, and August the first, second, and fifth most popular months for weddings, respectively. However, spring's May and June are the third and fourth most popular wedding months.

These choices are natural for a few reasons. June is historically viewed as an auspicious time to marry since it is associated with Juno, the Roman goddess of marriage and childbirth. Moreover, the lack of holidays in May and June mean that a wedding in these months is less likely to interfere with guests' prior plans. May and June also mark the end of the school year, which allows the couple to marry after graduation.

In most of the U.S., May and June are warm enough for hosting an outdoor event. Tent rentals can be used to take advantage of spring weather for the wedding and wedding reception.

However, wedding tent rentals are an easy way to provide cover for guests in case of inclement weather as well. Spring weather can be volatile, with heat, wind, and rain all potentially threatening a spring wedding. Many rental services that offer tent rentals also offer heating and air conditioning systems to maintain a comfortable environment for tented events. Keep in mind that the average number of wedding guests is 136 people according to The Knot's 2014 Real Weddings Study, so make sure you choose tent rentals that can accommodate everyone if the weather turns bad.

Easter Egg Hunt

While not every child celebrates Easter, every child enjoys an Easter egg hunt. Easter eggs have been documented as far back as the 1200s, although they may have originated much earlier.

Easter egg hunting and rolling have been traditional children's activities for at least 100 years. The first official White House Easter egg roll happened in 1878 on the White House lawn and has been an annual tradition ever since, with periodic breaks during wars and White House construction.

This tradition is often accompanied by food, games, and a get-together with family and friends. Tent rentals can provide a place to rest for the little ones and a place to socialize for their parents.

End of Winter

There is nothing more satisfying for many people than surviving another winter. An end of winter party can be an opportunity to get the family together for a reunion, gather neighbors for a block party, or just an excuse to absorb some sun and toss a baseball around with some friends.

Tent rentals not only provide a place to gather, but they can also provide a good place to serve a meal. The end of winter means the beginning of cookout season, so a gathering to celebrate the first grilled burgers, steaks, or hot dogs might be the perfect way to say goodbye to winter weather.

Baby Showers

More babies are born in late summer than any other time of the year. This means that spring is baby shower season for many expectant mothers. An outdoor baby shower is a good way to celebrate the upcoming addition to the family.

Tent rentals can provide the perfect canvas for a baby shower's theming and decorating. And the outdoor venue lets the adults celebrate while children play nearby.

Spring Break

No one says that your spring party needs to be in your backyard. Rent a local park or beach and hold a spring break party under a rental tent. There is no better way to blow off steam than an outdoor party with food, sports, and a few adult beverages. Tent rental companies can even string lights in case your party runs all night.

Tent rentals are perfect for outdoor events to celebrate spring, and spring weather, regardless of the occasion.

How to Host an Outdoor Party in the Winter

From table and chair rentals to party activities, these are all the tips you need to plan your own wintertime outdoor party. When you're ready to rent a tent to keep your guests warm, rely on Tents For Rent today.

Just because it's cold out doesn't mean you can't party, and the snow and cold temperatures shouldn't keep you indoors. After all, you have a back yard. Why should you be kept from using it half the year?

The idea of a wintertime outdoor party comes as some surprise to most people, but it's actually far more achievable than you might think. However, there is some special planning involved. How do you prepare for an outdoor party in the winter, and what makes it different from any old summertime party?

This article will help answer that question. From cold-weather party tent rentals to table and chair rentals, the following is everything you should keep in mind to plan the perfect winter party.

How to Keep Guests Warm at an Outdoor Winter Party

First of all, let’s discuss the obvious problem: in an outdoor winter party, how does everyone stay warm?

The answer to this question is actually somewhat multifaceted, and we'll touch on it throughout this guide. From serving the right foods to recommending the best activities, there's a lot that goes into keeping people warm and happy in cooler temperatures.

Next, even though you'll be outdoors, you should still provide a way for guests to warm themselves. Trudging into the house every fifteen minutes is an obviously bad idea since it would be a pain for guests and result in a lot of clean-up for you. Instead, consider renting a heated party tent for the occasion.

The size of tent you rent will depend on how many guests you're having. If you want to seat everyone at table and chair rentals inside the tent, multiply your guest count by 15 square feet. For casual standing room, multiply your guest count by eight square feet. Add an additional two or three square feet for dancing.

Outdoor Activities for Winter Parties

As mentioned earlier, the activities you and your guests will engage in should help you keep warm. To start with, even if you already have a heated tent set up, you could have a bonfire or outdoor fireplace outside the tent as well. After all, what's the point in being outdoors if you’ve got to stay inside the tent all the time?

Roasting marshmallows, hotdogs, and other foods over the fire is a good activity for your guests. It also allows for everyone to cook their own dinner when they want to -- you wouldn't even have to prepare anything else if you wanted to keep things simple. Get table and chair rentals and have these set up around the fire for easy eating.

Next, snowball fights and sledding can be great group activities if there's snow on the ground. Depending on the age and comfortable activity level of your guests, any activities involving a lot of movement will be great during the winter. Even classic games like tag and hide-and-seek could work.

If your guests are more mature and less active, they might prefer sitting around the fire to talk. Try to situate your fire and sitting area so that there are good windbreaks where you need them, just in case there's a breeze that day. Also, be sure the fire is located safely away from the tent to avoid damaging it.

Wintertime Party Foods

Besides hotdogs and marshmallows, try to have some warming foods available for your guests. Special pastries that can be cooked over a fire are always fun. Soups, ciders, and warm drinks are obvious choices. You don't have to have an entire meal of heated foods, however: just make sure most of your dishes contain warming spices, such as cinnamon and cayenne pepper.

Anything that can be grilled, such as steaks and hamburgers, is also a good idea. Having the grill up and running can help keep everyone warm, especially if your bonfire isn’t burning nicely right when everyone arrives.

From table and chair rentals to party activities, these are all the tips you need to plan your own wintertime outdoor party. When you're ready to rent a tent to keep your guests warm, rely on Tents For Rent today.
