Frame tents have an aluminum skeleton that makes the tent rigid. They offer some unique advantages over pole tents. Sometimes, tents must be secured with weights instead of driving stakes into the ground. In locations where a driveway cannot be penetrated or where underground utilities make it unsafe to drive stakes, a frame tent with weights is the perfect solution. Frame tents are much more flexible in the ways that they can be secured. They can be installed on a deck, patio or even the rooftop of a building. Frame tents have other advantages as well. They have no interior poles. This is great for construction projects where machinery must work inside the tent or events where poles would obstruct the flow of people.

Clearspan tents also have an aluminum structure and have all the benefits of a frame tent. However, clearspans can be much larger than a frame tent (over 100’ wide). The tent fabric slides in tracks on the aluminum beams, making them very tight. They are excellent for winter use or long-term installations. Bad weather is always a possibility when it comes to planning an outdoor event. It's best to prepare for the worst just as you've already prepared for the best. Here are some simple ways you can save your corporate event from stormy weather.

Begin by taking cover in more ways than one
Many business leaders will often rent a tent for a corporate event because the tent itself may otherwise only be used three or four times a year. Event tents are large enough to host many people including employees, potential business partners, investors, and their families. 

A tent for a corporate event works well for multiple kinds of weather. A tent rental will protect your guests from a light sprinkle of rain, the blistering sun, or a temperamental breeze. However, a tent for a corporate event may provide coverage for your guests, but not the equipment you have outdoors. 

Bring along a tarp cover that's weather resistant in order to cover important materials that shouldn't get wet. This will help save money, prevent water damage, and keep the party going after the storm passes.

Have a number of plans
One of the best ways you can ensure that your corporate event carries on smoothly is to have multiple strategies. Share those strategies with your employees. After all, your employees are your team.

Let your team know what should be done in the event of a storm including what equipment should be covered and with what material. This will keep the situation under control.

Staking or weighting a tent on asphalt?

When you're installing a tent on asphalt, you have two options:

  1. Drive stakes into the asphalt.
  2. Secure the tent with concrete weights.

Let's explore each option. Driving stakes into the asphalt is what most of our customers choose. It's economical, secure, fast and easy. We only need to drill holes about one inch in diameter. After we're finished, we fill the holes with crushed stone and patch the surface with actual asphalt. When we are finished, the holes are barely noticeable.

Installing the tent with weights is a better option if there so many underground utilities that there is no place to safely drive stakes. Weighting the tent can also be necessary if drilling holes through the asphalt is not allowed. Safely weighting a tent is usually about three times the cost of a normal staked pole tent. There are several reasons for this:

  1. Weighted tents must be frame tents which are more expensive and more labor intensive to install than standard pole tents.
  2. In order to safely secure a tent with weights, there must be thousands of pounds of weight delivered, handled and pick up from the job site.

Project Spotlight: Custom Pavilion

At Tents For Rent, we delight in working with you to solve even the most difficult challenges. For Mohegan Sun at Pocono Downs, we did just that. They had a rooftop patio with a beautiful view. The only problem was that the sun and the rain made it unusable for much of the summer. Before we could install a tent on the patio, there were several challenges that we needed to overcome:

  • The patio was a rooftop and thus needed to remain waterproof.
  • The patio was right in front of the announcer's stand. So, it needed to be very low profile.
  • The roof was not strong enough to support the weights required to secure the tent.
  • The patio had two levels.

Each of these challenges alone would have been difficult to solve. After surveying the location and extensive discussion on what would be the best solution, we worked with Anchor Industries to design a custom tent that all sloped in one direction. This created a solution that gave Mohegan sun the needed space until their new facility was completed. Tents can be installed nearly anywhere including concrete and asphalt. There are two ways to do this. The most popular options is drilling holes into the asphalt and repairing them after the tent is removed. Staking in asphalt is the most economical way to secure a tent. This is done by drilling a hole that's about one inch in diameter and driving a stake into the hole. After the stake is removed, we fill the hole with crushed stone and top it off with asphalt. We tamp down the asphalt and it's almost as good as new.

Alternately, we can install a frame tent with weights and not puncture the asphalt at all. It's also a good way to avoid damaging underground utilities. Tents are secured to very heavy concrete weights. Below is a picture of a weighted tent.

What is the difference between a frame tent and a pole tent?

Many people wonder what the difference is between a frame tent and a pole tent. This article will be a bit more technical than most. So, I'll do my best to make it easy to understand.

Pole tents, also known as tension structures are an evolution of the earliest type of tents. The forerunners to modern pole tents were the big top circus tents of the past. They have one or more high peaks in the center. Their structure comes from the fabric itself. They can be installed quickly with no need for beams to support them. Many of today's pole tents are engineered to withstand up to 70 mph sustained winds and 90 mph gusts. Pole tents are the most economical type of tent that we offer. They are great for weddings, backyard parties and other events of all kinds. They have tall, graceful peaks and airy spacious interiors. Many people prefer this style over the more traditional square frame tent appearance. They can be installed on nearly any surface where stakes can be driven into the ground.

While pole tents fill the needs of most of our customers, there are some situations where only a frame tent will fit the bill. Frame tents, also known as clearspan structures or clearspan tents offer some unique advantages. Sometimes, tents must be secured with weights instead of driving stakes into the ground. In locations where a driveway cannot be penetrated or where underground utilities make it unsafe to drive stakes, a frame tent with weights is the perfect solution. Frame tents are much more flexible in the ways that they can secured. They can be installed on a deck, patio or even the rooftop of a building. Frame tents have other advantages as well. They have no interior poles. This is great for construction projects where machinery must work inside the tent or events where poles would obstruct the flow of people. Frame tents also work well as weather protection for a stage at a graduation ceremony or other outdoor event with a large audience. Lighting and speakers can be hung from the aluminum beams of the tent. The front of the stage can be completely unobstructed by tent poles. Frame tents can also be easily raised to a taller height to cover a stage or to allow machinery to enter the tent. Some people prefer the more modern, "Euro" appearance of a frame tent.

Many people planning an outdoor event or wedding really love the outdoors. So do we. If you're an outdoors loving person, maybe you prefer to have your event outdoors with no tent at all. Maybe you like the full expanse of blue sky overhead during your wedding ceremony. Maybe you have visions of soft moonlight during your reception. Maybe you want to look up at the green canopy of trees overhead.

We understand this and we have a plan in place for you. Most summer days are lovely, warm and beautiful, but you need to plan for hot days with glaring sun or the stormy days with driving rain. That's where we come in. We allow you to reserve your tent and all the other rental items to go with it. If the weather forecast is beautiful, you can cancel the tent. There are several things you should consider when you're thinking of having a tent as a backup plan:

  • Rain isn't the only type of inclement weather. Shade from the hot sun can help keep your guests more comfortable too.

  • Even if you have your wedding ceremony outdoors, it's a great idea to rent a tent for the reception to cover the food, sound system and etc.

  • If you're planning to light the tent, plan for how you want to light the space if you don't rent a tent. Not all types of lighting work as well outside a tent.

  • You may want to rearrange your seating layout if you don't rent a tent.

  • If in doubt, rent a tent. It's much better to rent a tent and not need it than cancel the tent and wish you had it.

So, how does it all work? When you reserve, we require a 25% deposit. This guarantees that your tent will be available in case of inclement weather. However, you may cancel the tent if the weather forecast looks beautiful. You may make this decision up until 9:00 AM of the business day before delivery and save yourself the remaining 75%. If you cancel after 9:00 AM, you save 50% of the tent rental cost. There are two exceptions to this: linens need to be cancelled one day earlier than tents in order to get a 75% refund and permits are not refundable at all. This gives you peace of mind knowing that your guests will have shade from the hot sun or cover from the rain. Yet, you have the option to enjoy the beautiful outdoors. So, reserve today to plan an event that will be beautiful no matter what the weather.
