What to expect on delivery day

What should you expect on your tent delivery day? Watch this video to find out.

What should you expect on your tent delivery day?

It starts a few days before your delivery when you receive an email or a call from one of our schedulers notifying you of the time that we will be arriving to deliver your tent. Please confirm promptly so that we can proceed with planning all our deliveries for that day.

Normally, our crew will load their trucks a day or two before your delivery. So, if you have any changes to your order, please let us know as far ahead as possible.

To prepare for our arrival, please have the area where the tent will be installed cleared of any obstructions. If you need to mow the yard, please do that before our arrival as lawn mowers and tent crews do not mingle well! Our crew will do their best to arrive within the scheduled time range. However, weather, traffic and other unforeseen circumstances can change the schedule. Usually, our crew will arrive in a pickup truck and trailer for delivery. The crew leader will meet with you to find out exactly where the tent will be placed. He will work with you to find the best possible location for the tent. Unless you’ve already made other arrangements, he will also collect payment on arrival.

In order to speed up the delivery process, we like to park our trucks as close as possible to the tent installation spot. Our crews work quickly and efficiently. So, your tent should be installed as quickly as one hour. If it’s very large, it may take several hours.

After the tent is installed, we’ll need to know if you want us to install side walls on the tent. In most cases, we recommend leaving the tent as open as possible for fresh air and breezes. If you decide to leave the sides open, we can leave the walls onsite so that you can put them on later if the weather changes.

If you’ve rented additional accessories such as lighting, flooring, or power, we will install those things next. Tables, chairs and linens are the only items that do not include installation and removal in the rental cost. So, unless you’ve specified that you want us to set them up and re-stack them, we’ll stack those items inside the tent. Please have them stacked again when we come to pick up the tent, since we may not have time to go on a scavenger hunt just then. We look forward to serving you.

Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open. If at all possible, it’s best to keep the walls open

Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open.

Here are my recommendations. If the weather is warm, keeping most of the walls open is the best idea. It will allow more airflow to keep the guests cooler.  If rain is in the forecast, it’s a good idea to close only the side that the wind will be coming from. Even if cool or rainy weather is in the forecast, I recommend leaving at least one side of the tent open. The reason for this is that a tent that is totally enclosed can become very damp. Condensation can form on the tent and it can actually rain inside the tent. Of course, if it’s very cold or there are heaters in the tent, it’s best to enclose everything except the entrance

For your peace of mind, we offer an optional damage waiver for items rented from Tents For Rent. This allows you to pay a 10% fee that protects you from 90% of the cost to replace accidentally damaged items.

Table linens have a required damage waiver that is included in the regular price. Keep in mind that the damage waiver doesn't cover loss or theft. When you're installing a tent on asphalt, you have two options:

  1. Drive stakes into the asphalt.
  2. Secure the tent with concrete weights.

Let's explore each option. Driving stakes into the asphalt is what most of our customers choose. It's economical, secure, fast and easy. We only need to drill holes about one inch in diameter. After we're finished, we fill the holes with crushed stone and patch the surface with actual asphalt. When we are finished, the holes are barely noticeable.

Installing the tent with weights is a better option if there so many underground utilities that there is no place to safely drive stakes. Weighting the tent can also be necessary if drilling holes through the asphalt is not allowed. Safely weighting a tent is usually about three times the cost of a normal staked pole tent. There are several reasons for this:

  1. Weighted tents must be frame tents which are more expensive and more labor intensive to install than standard pole tents.
  2. In order to safely secure a tent with weights, there must be thousands of pounds of weight delivered, handled and pick up from the job site.

When we deliver the tent, our installation crew can install some of the walls, install all of the walls or leave them onsite in case you need to install them later. May I cancel my tent if the weather is beautiful?

Many brides dream of getting married under a beautiful blue sky, but they fear that a storm could crash their wedding.

Many brides dream of getting married under a beautiful blue sky, but they fear that a storm could crash their wedding. Thankfully, we have a plan in place for just this type of situation. It works like this: when you reserve your tent, you pay a 25% deposit. If your event is on a Saturday, we normally install the tent on Friday. You may cancel the tent as late as Thursday by 9:00 AM and not need to pay any more than the deposit that you've already paid. By that time, you should be able to have a good idea of the weather forecast for the weekend. There are two exceptions to this: linens need to be cancelled one day earlier than tents in order to get a 75% refund and permits are not refundable at all. If you want even more time to make a decision, you may pay 50% and cancel any time up until the arrival of the installation crew. Can tents be installed on asphalt or concrete?

Tents can be installed nearly anywhere including concrete and asphalt. There are two ways to do this. The most popular options is drilling holes into the asphalt and repairing them after the tent is removed. Staking in asphalt is the most economical way to secure a tent. This is done by drilling a hole that's about one inch in diameter and driving a stake into the hole. After the stake is removed, we fill the hole with crushed stone and top it off with asphalt. We tamp down the asphalt and it's almost as good as new.

Alternately, we can install a frame tent with weights and not puncture the asphalt at all. It's also a good way to avoid damaging underground utilities. Tents are secured to very heavy concrete weights. Below is a picture of a weighted tent.
