Things To Consider When Hosting a Winter Event

Planning a winter celebration? Follow our tips on heating solutions, tent styles, and flooring to keep your guests warm and happy throughout the event.

A group of people laughs as they stand in a circle holding sparklers at an outdoor event. They're wearing winter outerwear.

Nothing beats the beauty of an outdoor celebration in winter. The crisp air and potential for snow provide a stunning, sparkling backdrop for weddings and corporate gatherings. Summer parties often get the glory, but a cold-weather celebration stands out. However, you must prepare for guest safety and comfort in colder temperatures. We compiled a list of things to consider when hosting a winter event to help you execute a flawless gathering.

Prioritize Heating Solutions

Your main priority is keeping guests comfortable so they stay for the duration of the party. Heaters turn a chilly tent into a cozy haven. We recommend renting powerful tent heaters that circulate warm air effectively throughout the space. Thermostats allow you to control the temperature so it never gets too hot or too cold. Combining heaters with full sidewalls creates a seal against the elements. This setup traps heat inside and blocks freezing winds so guests can leave their heavy coats at the door.

Select the Correct Tent Structure

Winter weather demands sturdy equipment that can withstand heavy snow loads and strong winds. Clearspan tents often provide the best protection against harsh weather because they lack center poles. You might also choose a clear top tent for the aesthetic. These allow guests to dine under the stars or watch the snow fall while staying warm and dry. You can consult with us to match the tent style to your location and weather forecast!

Focus on Flooring and Lighting

The ground freezes in winter, which creates a cold base for your event. Installing flooring elevates your guests off the frozen earth, keeping their feet warm and shoes clean from slush or mud. You can even add carpeting for extra insulation. Additionally, winter days end quickly, so you lose natural light early in the evening. You need adequate lighting for safety and ambiance. Consider these options to brighten the space:

  • Bistro lights for a warm, inviting glow

  • Chandeliers for a touch of elegance

  • Walkway lighting for safe entry and exit

  • Uplighting to highlight tent features and decor

Plan for Snow Removal

Snow looks beautiful in photos, but it causes logistical challenges for vendors and attendees. You need a clear path for caterers, entertainment, and guests to enter the venue safely. Coordinate with your venue or a snow removal service to plow parking lots and salt walkways before anyone arrives. Monitoring the weather forecast in the days leading up to the party allows you to activate your snow removal plan immediately if a storm hits.

Create a Cozy Winter Experience

A winter event offers magic that summer simply cannot match. Make sure to address heating, structure, flooring, and logistics to provide a comfortable experience for your guests. Considering these things when hosting a winter event guarantees you’ll be prepared for the season’s unique demands. Tents for Rent offers reliable winter tent rentals in PA and the surrounding states. Contact us today for the expertise and weather-resistant equipment to make your cold-weather celebration a success.

Choosing the Perfect Tent Flooring for a Winter Event

Hosting a winter event outdoors? Learn how to consider insulation, maintenance, and more when selecting the perfect tent flooring for cold-weather events.

Hosting a winter event outdoors is a rewarding experience that’ll stand out during a time when cold weather drives most people to stay inside. However, event planning at this time of year also comes with challenges, such as chilly temperatures and damp ground. Get outdoor party tents to shield your guests against these environmental elements.

Having the right party tent and flooring for an outdoor winter event boosts your guests’ comfort and guarantees safety in harsh conditions. This guide to choosing the perfect tent flooring for a winter event will help you make a great-looking selection that performs well outside.

Select the Perfect Tent

First things first, you’ll need an outdoor tent suitable for your climate. If it snows where you live, you’ll benefit from a walled tent. Tents with walls are sturdy and can handle wear and tear.

Source walled tents from a provider of the most robust, spacious tents. At Tents for Rent, we offer tents that can accommodate gatherings of any size. When you choose us for your wall tent rental needs, you can pair your tent with suitable flooring to complete the cozy atmosphere.

The most suitable flooring provides insulation and warmth. Try pairing insulated plastic subflooring with AstroTurf outdoor carpet. Combine these floors with heaters and cozy lighting to increase temperatures inside the tent too.

Keep Maintenance in Mind

Tent maintenance during and after the event is important. Snow, mud, or debris tracked in by guests can be unsafe, so choose a flooring type you can wipe down, sweep, or vacuum. Practical Tips for Hosting a Winter Rehearsal Dinne

A winter wedding should be a magical experience for you and your guests. Let our practical tips for hosting a winter rehearsal dinner help make this a reality.

Planning a winter rehearsal dinner is a beautiful and unique experience. However, it also comes with its set of challenges. The cold weather, shorter daylight hours, and potential snowfall can affect your event’s success.

Fortunately, with careful preparation and attention to detail, you can host a memorable winter rehearsal dinner that everyone will enjoy. Here are some practical tips for hosting a winter rehearsal dinner to help your event go off without a hitch.

Consider the Distance From the Parking Lot to the Venue

One of the first things you should consider when planning a winter rehearsal dinner is the walking distance from the parking lot to the venue. In colder weather, guests may be less willing to trek a long distance in the cold, so choose a venue with convenient parking options. If the parking lot is a long hike from the venue, consider arranging shuttle transportation to make it easier for your guests.

Make Sure the Venue Is Easily Accessible

In addition to parking, you should ensure that the venue is easily accessible, especially in winter conditions. You should have the wedding venue check for clear pathways and ensure they’re free of ice and snow.

If there are any obstacles or barriers, have the venue address them in advance to prevent accidents. The last thing you want is for your guests to need help to reach the rehearsal dinner location.

Have a Heated Tent if the Rehearsal Dinner Is Outside

If you’ve decided to host your winter rehearsal dinner outdoors, providing a comfortable and warm space for your guests is crucial. Consider renting a heated tent for the occasion.

A heated tent rental can make all the difference in keeping your guests cozy and happy. With the right heating solution, you can enjoy the beauty of an outdoor winter event without worrying about your guests getting too cold.

Serve Food and Drink As Quickly as Possible

The winter chill can make people feel hungry and thirsty, so serving food and drinks as quickly as possible is essential. Plan your menu to include warm and comforting dishes that’ll help your guests stay warm from the inside out. Hot soups, hearty stews, and warm beverages are great for a winter rehearsal dinner.

Tell Your Guests To Dress Warmly and Comfortably

When sending out invitations, inform your guests about the chilly weather and recommend they dress warmly and comfortably. Encourage them to layer their clothing, wear warm coats, and bring gloves and scarves if necessary. You might even consider providing blankets or shawls for guests during the event.

Provide Plenty of Outdoor Lighting

With shorter daylight hours in the winter, outdoor lighting becomes even more critical. Your venue should have plenty of lighting for safety and create a cozy, inviting atmosphere. String lights, lanterns, and candles can add a warm and enchanting glow to your winter rehearsal dinner.

We hope our practical tips for hosting a winter rehearsal dinner make your event magical. If you’d like an outside event with plenty of warmth and happiness, contact Tents for Rent today! Our temperature-controlled tents will give your guests a welcome rest from the bitter cold. They can focus on celebrating your newly formed love instead!

Why Do I Need So Many Propane Tanks? Video

You may be curious why it is necessary to rent multiple propane tanks per heater to heat your tent.

You may be curious why it is necessary to rent multiple propane tanks per heater to heat your tent. In our example, I’ll use a 170,000 BTU tent heater, which is our most commonly used size. A 100-pound propane tank has enough fuel to operate a 170,000 BTU heater for 12 hours. Most tent events are shorter than 12 hours. Yet, we often recommend two propane tanks per heater. The reason is a bit complicated, but stick with me. Propane is stored in a pressurized tank in liquid form. To burn in a heater, the propane must evaporate first. This requires heat from the air around the tank to warm the liquid as it evaporates. There are several factors that affect the ability of propane in a tank to vaporize:

1.       Air temperature

2.       Tank size

3.       The amount of propane in the tank

Air temperature: on a warm day, propane can vaporize quickly, but the weather that makes you want a tent heater, also causes propane to vaporize more slowly. So, the colder the weather, the more tanks you may need. We recommend using two tanks per heater if the weather is forecast to be below about 50 degrees F. If you expect temperatures below 10 degrees, you’ll need three tanks per heater.

When a tank is nearly full, the liquid can absorb heat from the air faster. As it empties, the surface area where liquid contacts the tank is reduced and the vaporization rate drops. If you plan to use the tanks all the way to empty, you may need an extra tank.

Using too few tanks can cause a several issues:

1.       The heater produces less heat. As the heater starves for fuel, it may continue running, but it may not produce enough heat to keep your tent warm.

2.       The flame does not burn cleanly. The pressure from the tank drops and the heater can’t create a clean, hot flame. This can cause a propane odor inside the tent.

3.       In the worst cast, a tank can freeze up entirely and the heater shuts off.

If you want your tent event to be warm, don’t skimp on the number of propane tanks. If you’re not sure what you need, we’ll be happy to recommend the proper heaters and tanks, when you place your order. We have charts that give us the average low temperature and the necessary heaters to warm a tent any day of the year.

Securing Tent Sidewalls Video

When you’re planning an outdoor winter event, one of the most important aspects of the tent is the heat, specifically keeping the heat inside the tent. Typically, the standard tent walls do a great job. However, wind can play havoc with the walls that hang to the ground.

When you’re planning an outdoor winter event, one of the most important aspects of the tent is the heat, specifically keeping the heat inside the tent. Typically, the standard tent walls do a great job. However, wind can play havoc with the walls that hang to the ground. Frame tents with kedered walls don’t normally have this problem, but pole tents can. The best way to solve this problem is to secure the bottom of the tent walls. If you’re concerned about wind, you can add this option to your order. One way we secure the walls is wood boards under the tent poles. We screw the walls to the boards. This can make the difference between walls that look like this… and walls that look like this in case of a storm. Tips for Keeping Your Outdoor Seating Warm in the Winter

Keeping your outdoor seating warm in the winter is essential if you want to keep every area of your establishment comfortable for your guests.

It’s never been more essential for establishments to give their customers various seating options. But how are you supposed to ensure the comfort of your guests when brutal weather prevails?

Well, it might surprise you to learn that there are lots of creative ways to ensure your patio stays warm and cozy all season long. Explore these tips for keeping your outdoor seating warm in the winter. They’ll help you keep people comfy no matter what Mother Nature has in store.

Get an Outdoor Dining Tent

If you’re currently trying to heat your outdoor dining areas, tents and shade structures are certainly worth your consideration. These benefit businesses that don’t already have an awning or patio roof. They provide closable walls, high ceilings, and, most importantly, a closed-off area that’s very easy to heat.

Plus, if you’re not ready for a more permanent solution, there are tons of companies like Tents for Rent that can set you up with top-quality outdoor dining tent rentals. This way, you can keep your outdoor areas open and cozy for your guests all season long.

Use Patio Heaters

When you’re sifting through tips for keeping your outdoor seating warm in the winter, you should consider using patio heaters as an excellent starting point. These fixtures come in all shapes, sizes, and heating capabilities. So you’ll be able to select the perfect type to fill your outdoor dining areas.

And if you’re worried about safety, don’t be. Standard commercial heater designs include outdoor propane heaters with passive safety controls that regulate their heat levels and keep them cool to the touch.

As a result, you never have to worry about the heaters overheating or creating a hazardous environment. Plus, your waitstaff can maneuver around them with ease. That’s why they’re well worth the investment for establishments looking for effective ways to winterize their patios.

Have an Outdoor Fireplace

Now, if you’re looking to invest in something a bit more permanent, you might consider installing an outdoor fireplace on your patio. Not only will this attractive feature keep things nice and warm, but it will also add a unique and dynamic design element to your deck.

Of course, these fixtures are typically large with a price tag to match. It’s worth noting that fireplaces could potentially make a beautiful addition to your patio in any season, though. This is especially true when you consider that you can often adjust the heat they emit to fit the size of an area and the weather. If you go with this option, you must be ready for the commitment before investing in it.

How to clear snow from a tent

It looks like there is a snow storm in the forecast, and we need to be sure that snow doesn't accumulate on the tent. There are several ways to handle the snow.

It looks like there is a snow storm in the forecast, and we need to be sure that snow doesn't accumulate on the tent. There are several ways to handle the snow:

  • Heat the tent to 70 degrees during any snowfall to melt the snow off the tent as it falls. This is the easiest method and it's what we recommend. Please take a moment to be sure that your propane tanks are at least 50% full so that they don't run empty during the snow storm.

  • Remove the snow manually yourself. This saves cost, but it is very time consuming and requires someone to be onsite 24/7 to keep the tent clear of snow. It is also very important to use a tool that is soft and not sharp so that the tent is not damaged. A soft broom or plastic snow rake works well. If you'd like us to remove the snow for you, we may be able to arrange that. Just call us to discuss.

Feel free to call us to discuss the details. We are on call 24/7. So, please let us know right away if you have any issues with your tent or the heaters.

Troubleshooting an L. B. White tent heater video

If you’re having trouble with your tent heater, there are a few simple things you can try.

When heating a tent, there are occasional issues that cause the heater not to work properly. Here are a few easy things to check:

  • Is power getting to the heater? You can confirm this by plugging something else into the same outlet and be sure it powers on.

  • Is the power switch in the “up” position?

  • Normally the thermostat switch should be in the “down” position, but you can eliminate the thermostat by switching it to “manual”. Note that the heater will run continuously.

  • Confirm that the gas valve on the propane tank is open.

  • Be sure that nothing is obstructing the airflow either at the intake vent on the end of the heater or on the heat side. If the duct goes around a corner or is not smooth and straight, it can restrict airflow. If that is the case, the overheat reset button may pop.

  • Open the end panel on each end of the heater with a flat screwdriver. Inside each end, is a small red reset button. Press it firmly.

  • Turn the heater off and on again.

If it still does not heat, call us at 717.733.9700. We have someone on call at all times and we will return your call promptly if you leave an emergency message.

How to Host an Outdoor Party in the Winter

From table and chair rentals to party activities, these are all the tips you need to plan your own wintertime outdoor party. When you're ready to rent a tent to keep your guests warm, rely on Tents For Rent today.

Just because it's cold out doesn't mean you can't party, and the snow and cold temperatures shouldn't keep you indoors. After all, you have a back yard. Why should you be kept from using it half the year?

The idea of a wintertime outdoor party comes as some surprise to most people, but it's actually far more achievable than you might think. However, there is some special planning involved. How do you prepare for an outdoor party in the winter, and what makes it different from any old summertime party?

This article will help answer that question. From cold-weather party tent rentals to table and chair rentals, the following is everything you should keep in mind to plan the perfect winter party.

How to Keep Guests Warm at an Outdoor Winter Party

First of all, let’s discuss the obvious problem: in an outdoor winter party, how does everyone stay warm?

The answer to this question is actually somewhat multifaceted, and we'll touch on it throughout this guide. From serving the right foods to recommending the best activities, there's a lot that goes into keeping people warm and happy in cooler temperatures.

Next, even though you'll be outdoors, you should still provide a way for guests to warm themselves. Trudging into the house every fifteen minutes is an obviously bad idea since it would be a pain for guests and result in a lot of clean-up for you. Instead, consider renting a heated party tent for the occasion.

The size of tent you rent will depend on how many guests you're having. If you want to seat everyone at table and chair rentals inside the tent, multiply your guest count by 15 square feet. For casual standing room, multiply your guest count by eight square feet. Add an additional two or three square feet for dancing.

Outdoor Activities for Winter Parties

As mentioned earlier, the activities you and your guests will engage in should help you keep warm. To start with, even if you already have a heated tent set up, you could have a bonfire or outdoor fireplace outside the tent as well. After all, what's the point in being outdoors if you’ve got to stay inside the tent all the time?

Roasting marshmallows, hotdogs, and other foods over the fire is a good activity for your guests. It also allows for everyone to cook their own dinner when they want to -- you wouldn't even have to prepare anything else if you wanted to keep things simple. Get table and chair rentals and have these set up around the fire for easy eating.

Next, snowball fights and sledding can be great group activities if there's snow on the ground. Depending on the age and comfortable activity level of your guests, any activities involving a lot of movement will be great during the winter. Even classic games like tag and hide-and-seek could work.

If your guests are more mature and less active, they might prefer sitting around the fire to talk. Try to situate your fire and sitting area so that there are good windbreaks where you need them, just in case there's a breeze that day. Also, be sure the fire is located safely away from the tent to avoid damaging it.

Wintertime Party Foods

Besides hotdogs and marshmallows, try to have some warming foods available for your guests. Special pastries that can be cooked over a fire are always fun. Soups, ciders, and warm drinks are obvious choices. You don't have to have an entire meal of heated foods, however: just make sure most of your dishes contain warming spices, such as cinnamon and cayenne pepper.

Anything that can be grilled, such as steaks and hamburgers, is also a good idea. Having the grill up and running can help keep everyone warm, especially if your bonfire isn’t burning nicely right when everyone arrives.

From table and chair rentals to party activities, these are all the tips you need to plan your own wintertime outdoor party. When you're ready to rent a tent to keep your guests warm, rely on Tents For Rent today.

Should I close the tent walls? Video

Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open. If at all possible, it’s best to keep the walls open

Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open.

Here are my recommendations. If the weather is warm, keeping most of the walls open is the best idea. It will allow more airflow to keep the guests cooler.  If rain is in the forecast, it’s a good idea to close only the side that the wind will be coming from. Even if cool or rainy weather is in the forecast, I recommend leaving at least one side of the tent open. The reason for this is that a tent that is totally enclosed can become very damp. Condensation can form on the tent and it can actually rain inside the tent. Of course, if it’s very cold or there are heaters in the tent, it’s best to enclose everything except the entrance

Even if you decide to leave some of the tent sides open, we can leave the extra walls onsite to close later if necessary. Below is a video with instructions on closing the walls. We hope you enjoy your outdoor celebration.

3 Trends to Try For Winter Weddings

Despite the fact that June continues to be the most popular month to get married, more couples are opting for winter weddings. Although this season may have its difficulties, it can also be the most magical and picturesque time to tie the knot. And while you may not want to rent a tent for a wedding in the wintertime, you aren't limited in your celebrations. Here are three trends that will make any winter wedding the talk of the season.

  • Be natural
Just because outdoor events aren't practical doesn't mean you can't use what's outside. One of the best parts of any wedding is being able to incorporate seasonal elements into decorations and themes. Flowers may not be in bloom, but that doesn't mean you have to count out the outdoors. Bring the best parts of natural winter beauty indoors! You can use berries and vegetation in your bouquets and flower arrangements. Utilize branches or pine cones to decorate your wedding tables. You can even create garlands or table runners from what you find outside. Ditch the flower crown for one made out of pine switches and leaves.

  • Sparkle and shine
More than any time of year, winter is ideal for using sparkle and shine. One way to do this is by adding a little shimmer to your wedding tables. Opt for sequined overlays on top of your wedding linen rentals. Make sure your wedding dress has some sparkle in the form of a belt, a bolero, or in your jewelry or shoes. Fake snow or silver confetti can make for a beautiful entrance. Dress your bridesmaids in rich jewel tones. Hang twinkly string lights and light candles to create a winter wonderland.

  • Add warmth
It's the winter, so create a welcome escape for your guests. Hot chocolate bars have become increasingly popular in recent years. They're a great supplement to traditional coffee and tea, or could be used in conjunction with a dessert bar. If you want to serve a sit-down meal, remember that you should allow at least 15 square feet per person. If your guests want to cozy up closer, they can! Serve items like comforting soups, flaky pastries, and seasonal produce. Don't forget to warm yourself and your bridal party up, too. You might want to wear a unique long-sleeved wedding dress and velvet shoes or provide fetching faux furs, especially when it's time to take the wedding photos. By adding warm elements, you'll be long-remembered for hosting a fun and relaxing event during a chilly season.

Winter Wedding Dos and Don'ts to Follow This Season

The weather is getting colder, but that doesn't mean that your wedding needs to be put on the back burner until the sunny days of spring! According to the Knot, the second most popular month to get married is October, and we believe there are many benefits to getting married during the colder months.

The weather is getting colder, but that doesn't mean that your wedding needs to be put on the back burner until the sunny days of spring! According to the Knot, the second most popular month to get married is October, and we believe there are many benefits to getting married during the colder months.

However, if you are planning on hosting an outdoor event during the winter, there are some things you need to be concerned about, from your wedding rentals to ensuring your guests don't get too cold! So we have compiled a list of some winter wedding do's and don'ts to follow. Here's how to make sure your winter wonderland wedding goes off without a hitch.

Do choose what dresses you'd like

There is no rule stating that you have to dress your bridesmaids -- and yourself!-- in thick, heavy fabrics just because it's wintertime. Go with whatever fabric and you and your bridesmaids decide on, after all, there are always cardigans and jackets you can use to make everyone warm for the pictures!

Don't be afraid of color

Many brides believe that just because it is cold outside that they have to settle with a muted or dark color scheme for the event. Don't hold your creativity back; choose whatever color you'd like! This goes for your wedding linen rentals and wedding tents as well. Feel free to experiment with color on every surface, because you'll want to create a bright environment.

Do be cozy

Even if you decide to go with bright colors in your ceremony and reception wedding tents, go the extra step and create a cozy environment with lush, luxe fabrics. These components don't have to be everywhere, and can simply be a velvet ribbon tied around your wedding chairs, chenille pillows at lounge areas, or fur rugs under the tables.

Don't let your guests freeze!

It can be easy to get carried away during your big day, but it is important you don't leave your guests outside to freeze! This includes making arrangements for your receiving line to be indoors and to ensure there is a place for them to go during cocktail hour while you are taking pictures.

With these tips in mind, go enjoy your winter wonderland wedding day!

Project Spotlight - Tent Museum

Did you know the hottest new experience in Manhattan is a tent?

Did you know that a museum can be in a tent? This unusual museum was a multisensory experience designed to evoke feelings by sight, sound, scent, and feeling.  Its exterior changed color based on sentiments shared on social media. Inside, each room is designed to make you feel energetic, joyful, optimistic, exhilarated, or calm by turns. It was located in Lower Manhattan along the Hudson River, across the street from the World Trade Center.

To create this unique space, Event Resources and https://www.taittowers.com/ contacted Tents For Rent to discuss partnering for this one-of-a-kind event. The idea was to create a cube-like structure instead of a traditional tent. The Palas, a new tent design from the German company, Losberger, fit the bill. Selecting a structure was only the first of many challenges:

  • The Palas needed to be customized, reengineered, manufactured, and shipped from Germany--all in less than six weeks.

  • Mere weeks before installation was to begin, no location in Manhattan had been found to host the event.

  • After a space was found, it was too small to install the tent, while still allowing space for a fire lane. To do this, we worked with Tait to build custom spacers to allow the tent to move up the steps, and out of the fire lane.

  • On the day before installation began, the engineers realized that larger plates were needed to distribute the weight of the concrete ballast and avoid damage to the subway. Tait crews worked around the clock to manufacture new plates, and saved the day. The Tents For Rent crew shifted their already tight schedule to accommodate this change.

  • After the Tents For Rent crew began measuring the space to install the tent, they discovered that the site drawing was slightly inaccurate. The position of the tent needed to be shifted again to accommodate the fire lane.

  • The work area was confined to a fenced-in area that was only slightly larger than the footprint of the tent.

  • For most of the installation, equipment had to be delivered by straight truck since semi trucks could not access the site.

  • Two guards escorted each delivery truck, to protect pedestrians.

  • Due to the height of the eaves, each arch had to be constructed and raised before the next arch could be assembled.

In spite of all these challenges, the tent was completed on time for the installation of a raised floor, lighting, scenery and heating. Special thanks to Losberger, Tait Towers, Event Resources, and the Tents For Rent team for working together to make this event a success.
