Whatever your tent city needs, Tents For Rent is here to help. Here are a few things that I recommend. When picking a date, choose a time of year that typically has nice weather. Also, check for other events on that date that may attract your attendees

When creating a layout, arrange your tent city in a simple grid with space numbers that are easy to understand. Create a map that is accessible to your guests and staff so that everyone knows where to find what they’re looking for. Be sure that there is easy access to parking. You’ll also want to decide whether you’ll allow vehicles to enter the tent city. If so, will vehicles be allowed during the event or just before and after? Make the aisles between the tents wide enough for the foot traffic or vehicle traffic you’re expecting. And, don’t forget to have an evacuation plan in case of an emergency.

If possible, size your tent spaces at least 8’ larger than the tent size. This allows room for stakes and ropes and keeps the space from becoming crowded. For example, if you want to put a 20 x 20 tent in a space, make it 28 x 28.

Next, decide how you’ll be reserving tents for each space. Will the group in each space reserve their own tent with a tent company or will they reserve through your organization and you reserve the tents? Either way can work, but if you’re looking to raise funds, this can be an opportunity for you to mark up the tent rental a bit.

When planning an outdoor event of this magnitude, think about your people’s needs.

Restrooms: are basic portable restrooms sufficient or would you prefer more elegant restroom trailers?

Power: is there power on site or will generators be necessary? Renting quiet generators will make your guests more comfortable. Just having generators may not be enough. If each tent needs power, be sure to have a plan to distribute the power. Do you have a place for guests to safely charge their electronics?

Lighting: If the event will continue after dark, be sure to have adequate lighting both inside the tents and in the outdoor spaces

Communication: Do you have a way to contact your guests before, during and after the event should there be a change of schedule or an emergency? SMS text messages are one way. Installing a sound system onsite can also be valuable. An outdoor sound professional can ensure that you adequately cover the space with speakers

Be sure to keep people well fed and hydrated. You can call in a few food trucks or a caterer. Charging each vendor a fee can be another good source of revenue. Don’t forget to have plenty of bottled water available. This is even more important during hot weather. If there will be children at your event, think of activities that they would enjoy. Kids of all ages love a bounce house!

Seating: Renting chairs for people to be seated at events or when they just need  a break from standing in the sun is a great idea

If this is a ticketed event have an easy way to buy tickets ahead of time and onsite. An efficient check in system will prevent long lines and help your guests have an enjoyable experience

Do you need Wi-Fi? Whether you want to cover the entire area or just a VIP or headquarters area, engaging a professional with experience in covering outdoor areas can ensure that your guests will have a great experience.

Something else to think about is security. Give your guests peace of mind by planning for event security

A way to contact your staff onsite: If you don’t want to spend the money to rent two-way radios for your staff and volunteers, create a list of their phone numbers to make your life easier during the event.

Medical needs: contact your local ambulance company about being on standby at your event

Trash collection: place plenty of trash or recycling bins around the venue to keep it looking clean and neat. Schedule a local sanitation or recycling company to remove waste after the event.

Here’s an important one: plan for rain. While we all hope for lovely weather, having a plan for your guests in case of rain is very important. Is there a rain date? Will outside activities move into a tent or indoors? Planning these things ahead of time will allow you to rest easy as the event approaches. If you plan to hold the event rain or shine, ask your guests to dress for the weather.

Volunteers are an important part of any large event. Securing and training volunteers to staff your event is very valuable. Giving your volunteers shirts and nametags for the day of the event is also helpful. It’s also important to have a timeline for your event so that everyone knows where they need to be and when. Be sure to communicate this to each volunteer and staff member.

Permitting: you may be required to secure a special event permit, tent permit, food permit, electrical permit, street permit or other authorization from your local municipality.

What to expect on delivery day

What should you expect on your tent delivery day? Watch this video to find out.

What should you expect on your tent delivery day?

It starts a few days before your delivery when you receive an email or a call from one of our schedulers notifying you of the time that we will be arriving to deliver your tent. Please confirm promptly so that we can proceed with planning all our deliveries for that day.

Normally, our crew will load their trucks a day or two before your delivery. So, if you have any changes to your order, please let us know as far ahead as possible.

To prepare for our arrival, please have the area where the tent will be installed cleared of any obstructions. If you need to mow the yard, please do that before our arrival as lawn mowers and tent crews do not mingle well! Our crew will do their best to arrive within the scheduled time range. However, weather, traffic and other unforeseen circumstances can change the schedule. Usually, our crew will arrive in a pickup truck and trailer for delivery. The crew leader will meet with you to find out exactly where the tent will be placed. He will work with you to find the best possible location for the tent. Unless you’ve already made other arrangements, he will also collect payment on arrival.

In order to speed up the delivery process, we like to park our trucks as close as possible to the tent installation spot. Our crews work quickly and efficiently. So, your tent should be installed as quickly as one hour. If it’s very large, it may take several hours.

After the tent is installed, we’ll need to know if you want us to install side walls on the tent. In most cases, we recommend leaving the tent as open as possible for fresh air and breezes. If you decide to leave the sides open, we can leave the walls onsite so that you can put them on later if the weather changes.

If you’ve rented additional accessories such as lighting, flooring, or power, we will install those things next. Tables, chairs and linens are the only items that do not include installation and removal in the rental cost. So, unless you’ve specified that you want us to set them up and re-stack them, we’ll stack those items inside the tent. Please have them stacked again when we come to pick up the tent, since we may not have time to go on a scavenger hunt just then. We look forward to serving you.

It’s easy to be confused by the different types of tents: frame tents, clearspan tents, pole tents, sailcloth tents. Which one do I need? What’s the difference and why does it matter? Let me break it down for you.

It’s easy to be confused by the different types of tents: frame tents, clearspan tents, pole tents, sailcloth tents. Which one do I need? What’s the difference and why does it matter? Let me break it down for you.

Frame tents have an aluminum skeleton that makes the tent rigid. They offer some unique advantages over pole tents. Sometimes, tents must be secured with weights instead of driving stakes into the ground. In locations where a driveway cannot be penetrated or where underground utilities make it unsafe to drive stakes, a frame tent with weights is the perfect solution. Frame tents are much more flexible in the ways that they can be secured. They can be installed on a deck, patio or even the rooftop of a building. Frame tents have other advantages as well. They have no interior poles. This is great for construction projects where machinery must work inside the tent or events where poles would obstruct the flow of people.

Clearspan tents also have an aluminum structure and have all the benefits of a frame tent. However, clearspans can be much larger than a frame tent (over 100’ wide). The tent fabric slides in tracks on the aluminum beams, making them very tight. They are excellent for winter use or long-term installations. Clearspan tents also work well as weather protection for a stage at a graduation ceremony or other outdoor event with a large audience. Lighting and speakers can be hung from the aluminum beams of the tent. The front of the stage can be completely unobstructed by tent poles. Clearspans can be  raised to a taller height to cover a stage or to allow machinery to enter the tent. Some people prefer the more modern, "Euro" appearance of a clearspan tent.

Pole tents, also known as tension structures, are an evolution of the earliest type of tents.  The forerunners to our modern pole tents were the big top circus tents of the past. They have tall, graceful peaks and airy spacious interiors. Their structure comes from the fabric itself. Thus, they can be installed quickly with no need for beams to support them. Many of today's pole tents are engineered to withstand up to 70 mph sustained winds and 90 mph gusts. Pole tents are the most economical type of tent that we offer. They are great for weddingsbackyard parties and other events of all kinds. Many people prefer this style over the more traditional square frame or clearspan tent appearance. They can be installed on nearly any surface where stakes can be driven into the ground. They are our most popular type of tent.

Sailcloth tents are a type of pole tent that is very popular for weddings. They have the tall graceful peaks of a pole tent with a few extras to make them special. Inspired by sails on sailboats, they’re light and airy. They allow lots of natural light to flood the tent and they glow with light at night. Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open. If at all possible, it’s best to keep the walls open

Today we’ll be talking about tent sidewalls. During the tent installation, one of the questions we’ll ask is whether you’d like us to enclose the tent walls or leave them open.

Here are my recommendations. If the weather is warm, keeping most of the walls open is the best idea. It will allow more airflow to keep the guests cooler.  If rain is in the forecast, it’s a good idea to close only the side that the wind will be coming from. Even if cool or rainy weather is in the forecast, I recommend leaving at least one side of the tent open. The reason for this is that a tent that is totally enclosed can become very damp. Condensation can form on the tent and it can actually rain inside the tent. Of course, if it’s very cold or there are heaters in the tent, it’s best to enclose everything except the entrance

So to help your decision, here are some factors to consider when deciding on a shape.

Space
Your first consideration should be the size of your venue. The average number of wedding guests, according to the Knot's 2014 Real Weddings Study, is 136 people. So, if you're nearing the limits of your venue, using rectangular tables might help efficiently utilize the space. However, if size and space aren't an issue, using round tables can work perfectly. That said, you can seat it doesn't make a huge difference either way. Also, if you have enough room, you can always mix and match round and rectangular tables for a fun design.

Tabletop
This is where pre-planning really comes in handy. You could decide you want round tables with six people at a table, and then when you get everything laid out on the tabletop, you figure out you really only have room for five people per table. Which would cause a last-minute headache that nobody wants to deal with. As a general rule, you should allow 2 feet of space per person, including your wedding chairs of choice and any flatware and elbow room. Remember to keep people's comfort in mind when making design decisions and keep centerpieces tasteful and simple.

Socializing
Even if you put all the great aunts and uncles that you've never actually met all at the same table, chances are that they'll still want to talk to one another. Round tables tend to be the best option if you' want to involve the entire table, whereas rectangular tables will often only allow for a few people per section.

  • Rent a tent or two early on -- There are two basic styles of tents: pole tents (including tensile tents) and frame tents (including clearspan tents). Though you can't plan around the weather this far in advance, it's still a good idea to rent a tent prior to throwing your party outdoors.
