How To Host A Memorable Office Party
Want to ensure your company holiday party is memorable for the right reasons?

  1. Food: If you’re going to have drinks, food is a must. Besides, it’s a great excuse to have that BBQ pulled pork and homestyle potato salad you’ve been craving. Don’t forget the delectable double dark chocolate chunk brownies.
  2. Lighting: The right type of lighting is important and can set the mood for the whole event.
  3. Scavenger Hunt: This fun adventure is not only an exciting icebreaking activity, it doubles as an awesome team building exercise. Have a set of company related objects to find outside, and work together in teams to creatively track them down.

No matter what purpose you have for your corporate event rentals, having your event outdoors is a great way to get out of the office and into a fun and enjoyable group atmosphere. To be prepared for the possibility of bad weather, make sure to rent a tent. Stay warm and dry and have fun bonding with your coworkers.

How To Create The Best Layout For Your Outdoor Tented Event

When hosting an outdoor event, one of the key challenges is determining the layout of the event itself. Layouts of tented events must be specific to the event itself. For instance, if a speech is being hosted during the event, then it's recommended for the chairs to be set up in rows with 5 to 6 square feet between each chair.

rentatent.jpg

When hosting an outdoor event, one of the key challenges is determining the layout of the event itself. Layouts of tented events must be specific to the event itself. For instance, if a speech is being hosted during the event, then it's recommended for the chairs to be set up in rows with 8 square feet per chair.

Just as you would organize the layout of an indoor event, the layout must be planned when you rent a tent for your outdoor event. The layout should be easy to follow and all your guests should be able to fit within the rented tent comfortably. To ensure the layout for your outdoor event will work in your favor, consider the following tips.

Decide where the focus should be
The focus of your event will dictate the layout. While some events may not have a focal point, the grand majority will. Therefore, it's essential that you determine the focal point of your own event when you rent a tent. For instance, a corporate event may want the focus to be on the business's logo or perhaps a stage where the business leaders will be speaking.

Once the focal point of the event had been determined, you can begin to develop the layout around that focal point. You'll want to be sure that focal point is within range of sight no matter the position of the seating.

Ensure you have the right size tent
When you rent a tent, it's essential that you know how many guests will be attending. It's never safe to assume the average size of a tent rental will be fine. Should the tent rentals be too large, it can make your event look like a failure as if you were expecting more people to attend. On the other hand, should the tent rentals be too small, your event can be overcrowded and ruin the moods of your guests.

Before you rent a tent for your outdoor event, consider the exact number of those who will be attending. Make a sketch of the layout you intend to create in the space. Then speak to a representative of the company you intend to rent the tent from. This will give you a professional opinion and an accurate estimate of the tent rental's necessary size.

Create a layout based on sections
If your event has various sections such as a dining area, entertainment area, or a place for food preparation, consider separating these sections into stations when sketching your layout. This will keep your event from appearing chaotic and will help establish a flow from one section of the tent to the other.

Creating a layout that works for your event is essential for a successful celebration. Keep these tips in mind the next time you're renting a tent for a corporate, wedding, or sports event in the future.

How To Keep Your Corporate Event Running Smoothly Even When There's Rain

One of the biggest difficulties with planning an outdoor event in advance is you're never sure what the weather forecast holds in store. Of course, you can check the library's copy of the Farmer's Almanac for a general idea, but odds are your experience with the weather involves a lot of prayer and a series of heavy sighs.

One of the biggest difficulties with planning an outdoor event in advance is you're never sure what the weather forecast holds in store. Odds are your experience with the weather involves a series of heavy sighs.

Bad weather is always a possibility when it comes to planning an outdoor event. It's best to prepare for the worst just as you've already prepared for the best. Here are some simple ways you can save your corporate event from stormy weather.

Begin by taking cover in more ways than one
Many business leaders will often rent a tent for a corporate event because the tent itself may otherwise only be used three or four times a year. Event tents are large enough to host many people including employees, potential business partners, investors, and their families.

A tent for a corporate event works well for multiple kinds of weather. A tent rental will protect your guests from a light sprinkle of rain, the blistering sun, or a temperamental breeze. However, a tent for a corporate event may provide coverage for your guests, but not the equipment you have outdoors.

Bring along a tarp cover that's weather resistant in order to cover important materials that shouldn't get wet. This will help save money, prevent water damage, and keep the party going after the storm passes.

Have a number of plans
One of the best ways you can ensure that your corporate event carries on smoothly is to have multiple strategies. Share those strategies with your employees. After all, your employees are your team.

Let your team know what should be done in the event of a storm including what equipment should be covered and with what material. This will keep the situation under control.

Should the storm take over your tent rental, evacuate your guests from the area. Proceed to a backup location if possible. In some cases, those who may have tent rentals may also have a rented indoor space. Should the weather go bad, use this indoor space for a backup location for your corporate event.

While you may not be able to outsmart the weather and wish your way to sunny skies, you can be prepared for the worst. Have a plan set out in advance, discuss your plans with your employees, and have a backup location available. This will keep your party going even when there's rain on your parade.

Staking or weighting a tent on asphalt?

When you're installing a tent on asphalt, you have two options:

  1. Drive stakes into the asphalt.
  2. Secure the tent with concrete weights.

When you're installing a tent on asphalt, you have two options:

  1. Drive stakes into the asphalt.
  2. Secure the tent with concrete weights.

Let's explore each option. Driving stakes into the asphalt is what most of our customers choose. It's economical, secure, fast and easy. We only need to drill holes about one inch in diameter. After we're finished, we fill the holes with crushed stone and patch the surface with actual asphalt. When we are finished, the holes are barely noticeable.

Installing the tent with weights is a better option if there so many underground utilities that there is no place to safely drive stakes. Weighting the tent can also be necessary if drilling holes through the asphalt is not allowed. Safely weighting a tent is usually about three times the cost of a normal staked pole tent. There are several reasons for this:

  1. Weighted tents must be frame tents which are more expensive and more labor intensive to install than standard pole tents.
  2. In order to safely secure a tent with weights, there must be thousands of pounds of weight delivered, handled and pick up from the job site.

Which suits your needs best? Contact us today to find out.

Should I Choose Round or Long Tables for my Outdoor Tent Event?

As you're planning an outdoor wedding, party or other event, you may wonder if you should choose round or rectangle tables. Each has its benefits and situations where it works best.

As you're planning an outdoor wedding, party or other event, you may wonder if you should choose round or rectangle tables. Each has its benefits and situations where it works best.

Benefits of rectangle banquet tables:

  • They are slightly more space efficient and allow for wider aisles.
  • When placed end to end, it's easier to assign seats to guests since it creates a long table with more seats.
  • Long rectangle tables are available in farmhouse table style.
  • They are excellent for buffet tables.

Benefits of round tables

  • They are our most popular table for dining.
  • There is more space in the center for food or decorations.
  • It allows people sitting at the table to talk to more different people.
  • They have a more intimate and less institutional feel.

Or if you'd like the benefits of both, you can mix and match round and rectangle tables for an eclectic look. Contact us today to let us help you plan your outdoor tent event.

5 All Season Decor Ideas for Wedding Tent Rentals

Planning your wedding is an exciting time. There is so much to plan, figure out, and decorate! There are so many things to pick from, and this includes tent rentals. Wedding tents are great all year round, as long as they are decorated and planned for properly, so here are some details to keep in mind when decorating those party rentals for your big day.

Planning your wedding is an exciting time. There is so much to plan, figure out, and decorate! There are so many things to pick from, and this includes tent rentals. Wedding tents are great all year round, as long as they are decorated and planned for properly. So, here are some details to keep in mind when decorating those party rentals for your big day.

1. Add some hanging garlands
Instead of having large centerpieces on each table, consider hanging garlands of ivy all around your tent. You can put some contrasting flowers in them that match your wedding colors, and you can even place the garlands around chandeliers and lighting fixtures.

2. Family style seating
Consider using long, family style tables instead of smaller tables that only hold a few people. Not only will this make everyone mingle and have a good time, you will have more room for dancing!

3. Have a hanging cake
A great way to put your cake on display is to install a hanging table somewhere in your tent. Without even trying, this will make your cake stand out while giving your guests ample room to gather around for the cake cutting ceremony.

4. Incorporate geometric metal
Metal offers a nice juxtaposition with hanging greenery. Think brushed silver or bronze chairs, cutlery, and tables for a really interesting vibe that will look great against a lush background of flowers.

5. Drape fabric
Flowers aren't really your style? No worries-- go for draped fabric at different heights all around your tent. It will create an airy, pleasant vibe for any outdoor reception. You can even put fairy lights on display for extra lighting during the night.

In order to make sure these decorating tips work, it is crucial to invest in the right size tent rentals

Project Spotlight - Tent Museum

Did you know the hottest new experience in Manhattan is a tent?

Did you know that a museum can be in a tent? This unusual museum was a multisensory experience designed to evoke feelings by sight, sound, scent, and feeling.  Its exterior changed color based on sentiments shared on social media. Inside, each room is designed to make you feel energetic, joyful, optimistic, exhilarated, or calm by turns. It was located in Lower Manhattan along the Hudson River, across the street from the World Trade Center.

To create this unique space, Event Resources and https://www.taittowers.com/ contacted Tents For Rent to discuss partnering for this one-of-a-kind event. The idea was to create a cube-like structure instead of a traditional tent. The Palas, a new tent design from the German company, Losberger, fit the bill. Selecting a structure was only the first of many challenges:

  • The Palas needed to be customized, reengineered, manufactured, and shipped from Germany--all in less than six weeks.

  • Mere weeks before installation was to begin, no location in Manhattan had been found to host the event.

  • After a space was found, it was too small to install the tent, while still allowing space for a fire lane. To do this, we worked with Tait to build custom spacers to allow the tent to move up the steps, and out of the fire lane.

  • On the day before installation began, the engineers realized that larger plates were needed to distribute the weight of the concrete ballast and avoid damage to the subway. Tait crews worked around the clock to manufacture new plates, and saved the day. The Tents For Rent crew shifted their already tight schedule to accommodate this change.

  • After the Tents For Rent crew began measuring the space to install the tent, they discovered that the site drawing was slightly inaccurate. The position of the tent needed to be shifted again to accommodate the fire lane.

  • The work area was confined to a fenced-in area that was only slightly larger than the footprint of the tent.

  • For most of the installation, equipment had to be delivered by straight truck since semi trucks could not access the site.

  • Two guards escorted each delivery truck, to protect pedestrians.

  • Due to the height of the eaves, each arch had to be constructed and raised before the next arch could be assembled.

In spite of all these challenges, the tent was completed on time for the installation of a raised floor, lighting, scenery and heating. Special thanks to Losberger, Tait Towers, Event Resources, and the Tents For Rent team for working together to make this event a success.

Project Specs:

  • Tent size: 49' x 114' x 22' tall

  • Concrete ballast: 140 blocks and a total of over 250,000 pounds

  • Installation time: 5 days

  • Location: Brookfield Place in Lower Manhattan across from the World Trade Center

  • Tent and ballast delivery trucks: 15

3 Ideas For Fun Outdoor Fall Parties

The summer is by no means over quite yet, but you can almost smell the pumpkin spice lattes of fall. From the appearance of winter squash and beets in the farmer's market, to a slight nip in the morning air, we all know that the blazing orange sun of summer is making way for the vibrant hues of fall. And what better way to celebrate than by throwing a party?

The summer is by no means over quite yet, but you can almost smell the pumpkin spice lattes of fall. From the appearance of winter squash and beets in the farmer's market, to a slight nip in the morning air, we all know that the blazing orange sun of summer is making way for the vibrant hues of fall. And what better way to celebrate than by throwing a party?

Hosting an outdoor event is a great way to get people together to enjoy nature and the open sky before everyone retreats inside against the winds of winter.

Here are some ideas for outdoor events in the autumn:

Fall Arts Competition
The craft potential for the fall is monumental -- think colorful leaf crafts, and nature collages. What better way to gather friends, family, and your community than to host a crafting event under a backyard party tent? Create tiers for the competition so that the little kids, bigger kids, teens, and adults can all enter different judging brackets, and when it's all over, make sure to display the crafts and art in local businesses, at school, or your homes.

Musician Showcase
The crisp outdoors air in the fall begs for hot cider and music. Provide both, and folding chairs, to put on a relaxing event that welcomes in the new season and celebrates life, change, and the diversity of the season. Remember, if you arrange the seats to accommodate for a performance space and aisles, there should be 8 square feet per person.

Community Service Events
The fall is the last chance to pick up all the summer litter before the winter snows cover them up and push them even farther into the soil. Get together a bunch of people, rent a tent to rally and serve everyone hot chocolate and snacks under, and get a group effort going to clean up the neighborhood in time for the holiday season.

There are tons of other outdoor events ideas for the fall, from beautiful wedding receptions (the second most popular month to get married is October), to harvest parties. Get into the swing of the season by renting a tent and celebrating with those you love.

3 Ideas for Upcoming Corporate Event Rentals

Tented events and corporate event rentals are our specialties at Tents For Rent. We believe every time of the year has opportunities to celebrate and show appreciation -- especially for employees -- at companies of all sizes. Outdoor events can be the perfect way to do this and with summer right around the corner, the time to start planning was yesterday.

Determining the number of people who will attend and the appropriate amount of seating is one of the hardest things about the setup process for corporate event rentals. For starters, it's a good idea to allow eight square feet per chair if you're going to be having a speech or award ceremony of some kind.

Particulars aside, the first thing you have to decide on for corporate event rentals is what you will be celebrating. Here are a couple of ideas to celebrate and boost company morale, increase productivity, and ultimately show appreciation for the people who make your company what it is.

  1. Company Picnic: A simple company picnic for employee appreciation is one of the best ways to show you care. Not only does it give your employees a chance to enjoy a relaxing event outside, but it's also a lot easier to put on than you probably think! Let us handle your corporate event rentals, including chairs, tents, and tables. All you'll have to do is find a caterer.

  2. Memorial Day: Memorial Day is an under-celebrated holiday in this country. It is a day for honoring those who have died to give every other American the opportunity to do whatever it is they're doing today. While technically a federal holiday that should be observed regardless, it's a great idea to celebrate by providing food, drinks, and perhaps even some sort of memorization of what the day stands for.

  3. Fourth of July: Another important holiday to the history and future of the U.S. is the Fourth of July. What better way to celebrate the birth of America than at the company/business that was made possible because of it

Depending on your event's size, function, and preferences, there are two basic styles of tents: frame tents and pole tents. Check out all our options and get started on your corporate event rentals today.

Project Spotlight: Custom Pavilion

At Tents For Rent, we delight in working with you to solve even the most difficult challenges. For Mohegan Sun at Pocono Downs, we did just that. They had a rooftop patio with a beautiful view. The only problem was that the sun and the rain made it unusable for much of the summer. Before we could install a tent on the patio, there were several challenges that we needed to overcome:

  • The patio was a rooftop and thus needed to remain waterproof.
  • The patio was right in front of the announcer's stand. So, it needed to be very low profile.
  • The roof was not strong enough to support the weights required to secure the tent.
  • The patio had two levels.

Each of these challenges alone would have been difficult to solve. After surveying the location and extensive discussion on what would be the best solution, we worked with Anchor Industries to design a custom tent that all sloped in one direction. This created a solution that gave Mohegan sun the needed space until their new facility was completed. The tent was complete with lighting, heating and all the necessary amenities for a great outdoor event...rain or shine. Do you have a difficult tenting challenge? Contact us today. We'd love to help.

Can tents be installed on asphalt or concrete?

Tents can be installed nearly anywhere including concrete and asphalt.

This article is part of a series of posts with further explanation on many of our frequently asked questions.

Tents can be installed nearly anywhere including concrete and asphalt. There are two ways to do this. The most popular options is drilling holes into the asphalt and repairing them after the tent is removed. Staking in asphalt is the most economical way to secure a tent. This is done by drilling a hole that's about one inch in diameter and driving a stake into the hole. After the stake is removed, we fill the hole with crushed stone and top it off with asphalt. We tamp down the asphalt and it's almost as good as new.

One inch diameter tent stake hole

Alternately, we can install a frame tent with weights and not puncture the asphalt at all. It's also a good way to avoid damaging underground utilities. Tents are secured to very heavy concrete weights. Below is a picture of a weighted tent.

What is the difference between a frame tent and a pole tent?

This article is part of a series of posts with further explanation on many of our frequently asked questions.

Many people wonder what the difference is between a frame tent and a pole tent. This article will be a bit more technical than most. So, I'll do my best to make it easy to understand.

Pole tents, also known as tension structures are an evolution of the earliest type of tents. The forerunners to modern pole tents were the big top circus tents of the past. They have one or more high peaks in the center. Their structure comes from the fabric itself. They can be installed quickly with no need for beams to support them. Many of today's pole tents are engineered to withstand up to 70 mph sustained winds and 90 mph gusts. Pole tents are the most economical type of tent that we offer. They are great for weddings, backyard parties and other events of all kinds. They have tall, graceful peaks and airy spacious interiors. Many people prefer this style over the more traditional square frame tent appearance. They can be installed on nearly any surface where stakes can be driven into the ground.

While pole tents fill the needs of most of our customers, there are some situations where only a frame tent will fit the bill. Frame tents, also known as clearspan structures or clearspan tents offer some unique advantages. Sometimes, tents must be secured with weights instead of driving stakes into the ground. In locations where a driveway cannot be penetrated or where underground utilities make it unsafe to drive stakes, a frame tent with weights is the perfect solution. Frame tents are much more flexible in the ways that they can secured. They can be installed on a deck, patio or even the rooftop of a building. Frame tents have other advantages as well. They have no interior poles. This is great for construction projects where machinery must work inside the tent or events where poles would obstruct the flow of people. Frame tents also work well as weather protection for a stage at a graduation ceremony or other outdoor event with a large audience. Lighting and speakers can be hung from the aluminum beams of the tent. The front of the stage can be completely unobstructed by tent poles. Frame tents can also be easily raised to a taller height to cover a stage or to allow machinery to enter the tent. Some people prefer the more modern, "Euro" appearance of a frame tent.

Still not sure which type of tent you'll need? Contact us and let our representatives find the best solution for your event. Whichever type of tent you choose, rest assured that Tents For Rent will provide you with a quality tent and excellent service to make your event successful.

How to Plan an Outdoor Event? Video

This article is part of a series of posts with further explanation on each of our frequently asked questions.

So you're planning an event, and you're thinking of holding it outdoors. You just don't know where to start. Here's a place to start.

  1. Choose a date. If you'd like to see the average weather for a given date, look here.

  2. Create a guest list. This will help you estimate the number of guests who will attend. On average about 80% of the people you invite will attend. Will they all be there at one time or will it be a drop-in?

  3. Choose a location. It can be your backyard, a park, a bed and breakfast, the home of a friend or family member, or another venue.

  4. Research vendors for tents, other rentals, catering, event planning and entertainment.

  5. Expect the best weather, but plan for the worst. If you plan to have any portion of the event outside, have a backup plan to add another tent or move indoors in case of rain.

  6. Plan the details:

    1. Lighting

    2. Heating or cooling

    3. Tent layout

    4. Tables and chairs

    5. Linens

    6. Flooring

    7. Restrooms

    8. Power

  7. Enjoy your event.
