3 Surprising Reasons Why You Should Be Renting A Tent For Your Celebration

Tents make incredible places to host an event. Unlike interior rooms and buildings, your event -- corporate or otherwise -- isn't held down by perimeters and measurements. Guests can move about the area, and outside the area, as they please while enjoying the sun.

Tents make incredible places to host an event. Unlike interior rooms and buildings, your event -- corporate or otherwise -- isn't held down by perimeters and measurements. Guests can move about the area, and outside the area, as they please while enjoying the sun.

You don't need to keep your event confined to a building while following the rules of the host. Tented events can give you the freedom to plan your event as you like. Here are four reasons why renting a tent is a great choice for your next corporate meeting, birthday celebration, or wedding.

  1. Tents are blank canvases
When you host an event indoors, you have to accommodate the features of the indoor space. These features include banisters, hardwood or carpet flooring, furniture, and colors already decorating the space.

Tented events don't have to worry about working with a canvas already half-full. Because a tent itself is a blank canvas. You can choose whichever theme or color scheme you would like to have at your event without worrying about clashing with decor or interior design.

  2. Tented events allow flexibility
Certain indoor spaces can only accommodate a limited number of guests. However, an outdoor tented event allows you to invite as many guests as you want. Tents come in a variety of sizes and you can rent from a vast range of options and styles. Renting chairs like wedding chairs is also an option, although it's recommended that at least eight square feet be allowed between each chair for proper movement.

  3. Tents offer privacy
Tents come with optional walls, which allow for your guests to have a sense of privacy while they're celebrating at your event. This can be especially useful if the event is hosted in a more public place or where there may be people walking by.

  4. Tents protect your guests from the elements
No matter the weather, tented events can keep guests either warm or cool. On a hot summer day, the coverage of the tent above will keep guests shielded from the harsh rays of the sun and provide plenty of shade. On a cooler day, the tent can help protect guests from breezes and the coverage will keep them dry should it start to rain.

Tent rentals come in all shapes and sizes. Whether you're hosting a corporate event, wedding, or birthday celebration you can rent a tent for optimal space, protection against the weather, and enjoyment.

How To Guarantee A Great Time At A Garden Party

Garden parties during the spring and summer months can be incredibly fun. There's no better way to celebrate the warm weather than spending time outdoors with friends.

Garden parties during the spring and summer months can be incredibly fun. There's no better way to celebrate the warm weather than spending time outdoors with friends.

However, while garden parties can give you the right amount of socialization we all crave, they can go downhill if not planned in correlation with the weather. Here are some tips and tricks to ensure that your garden party is an event to remember.

Plan For All Types Of Weather

Even when the weather forecast tells you there will be nothing but sun, it's important to be prepared in case the sky decides to open up and rain on your parade. After all, most parties are planned in advance and you may not know for sure what the weather will be like until the week before.

Renting a tent will reduce the risk of your party being ruined by unexpected weather. Tented events are less likely to be rained out because guests are properly covered. And even if it doesn't rain, perfect tent rentals like a backyard party tent will keep your guests shaded from the harsh rays of the sun. Depending on the style of tent you're looking for, you can either choose from frame tents or pole tents to suit your needs.

Something else to consider for your garden party aside from deciding on the perfect tent rentals is the use of fans. Guests can easily become overheated during outdoor events in the summer. Keeping them cool should be your number one priority. If you don't have electrical fans, consider making paper fans as a DIY project. Not only will it be creative, but your guests can admire your work while keeping themselves cool.

Keep Lighting In Mind

Whether you rent a tent in your backyard or you've rented out a space for your garden party, lighting is something you'll have to think about. Landscape lighting will keep the area of your yard well-lit so everyone can see.

However, if you don't have landscape lighting at your home (or if you simply want a more romantic touch) you can consider using cafe lights or even mason jar candles. Another idea is to use hanging lanterns, which will provide your party with a soft, warm light to keep the atmosphere mellow and light.

Garden parties can be incredibly fun. But it's important to take weather and changing times of day into consideration to ensure everyone has a good time. Provide your guests with shade with perfect tent rentals, fans, and proper lighting and the focus of your garden party will be on your guests' enjoyment and not their discomfort.

Should I Choose Round or Long Tables for my Outdoor Tent Event?

As you're planning an outdoor wedding, party or other event, you may wonder if you should choose round or rectangle tables. Each has its benefits and situations where it works best.

As you're planning an outdoor wedding, party or other event, you may wonder if you should choose round or rectangle tables. Each has its benefits and situations where it works best.

Benefits of rectangle banquet tables:

  • They are slightly more space efficient and allow for wider aisles.
  • When placed end to end, it's easier to assign seats to guests since it creates a long table with more seats.
  • Long rectangle tables are available in farmhouse table style.
  • They are excellent for buffet tables.

Benefits of round tables

  • They are our most popular table for dining.
  • There is more space in the center for food or decorations.
  • It allows people sitting at the table to talk to more different people.
  • They have a more intimate and less institutional feel.

Or if you'd like the benefits of both, you can mix and match round and rectangle tables for an eclectic look. Contact us today to let us help you plan your outdoor tent event.

Spring is in full swing, and there's no better way to celebrate the beauty of the season than by throwing a party for your closest friends and family. Of course, hosting an outdoor event of any kind is great for bringing everyone together and creating fond memories. But if you're looking for a few creative ways to use a backyard party tent this spring, we've come up with a few ideas for an unforgettable social gathering. And don't forget: you'll need the perfect tent rentals for your upcoming shindig! Here are just a few themed events you'll definitely want to throw this year:

  • An elegant garden tea party
Throw on your fanciest hat and prepare to drink with your pinkies up! There's no better way to spend a sunny Sunday afternoon than in your backyard garden, enjoying a spot of tea and delicious finger sandwiches. Our perfect tent rentals will ensure your antique china and lace table linens will stay dry and safe, even in unpredictable spring weather. Be sure to decorate your tables with crisp place cards, mismatched teacups, and lots of fresh flowers. And  don't forget the scones and clotted cream! This can be ideal for your monthly ladies-who-lunch event, a birthday, or even a bridal or baby shower.

  • A neighborhood potluck picnic
For a new twist on a traditional neighborhood gathering, why not throw a backyard potluck picnic? Rather than have each family bring their own individual baskets, you can have everyone bring a favorite dish to pass. As host, you can provide some of the essentials, like soda, chips, or other snacks. Your guests can bring an appetizer, main entree, or dessert for everyone to enjoy. They can even share their family recipe on card stock so that these dishes will be loved for years to come. Be sure to decorate your tables with red gingham tablecloths and high-quality plastic or paper plates to make for easy clean-up. Keep in mind you'll need at least 15 square feet per person. That way, you'll have plenty of room but can still mix and mingle with ease.

5 All Season Decor Ideas for Wedding Tent Rentals

Planning your wedding is an exciting time. There is so much to plan, figure out, and decorate! There are so many things to pick from, and this includes tent rentals. Wedding tents are great all year round, as long as they are decorated and planned for properly, so here are some details to keep in mind when decorating those party rentals for your big day.

Planning your wedding is an exciting time. There is so much to plan, figure out, and decorate! There are so many things to pick from, and this includes tent rentals. Wedding tents are great all year round, as long as they are decorated and planned for properly. So, here are some details to keep in mind when decorating those party rentals for your big day.

1. Add some hanging garlands
Instead of having large centerpieces on each table, consider hanging garlands of ivy all around your tent. You can put some contrasting flowers in them that match your wedding colors, and you can even place the garlands around chandeliers and lighting fixtures.

2. Family style seating
Consider using long, family style tables instead of smaller tables that only hold a few people. Not only will this make everyone mingle and have a good time, you will have more room for dancing!

3. Have a hanging cake
A great way to put your cake on display is to install a hanging table somewhere in your tent. Without even trying, this will make your cake stand out while giving your guests ample room to gather around for the cake cutting ceremony.

4. Incorporate geometric metal
Metal offers a nice juxtaposition with hanging greenery. Think brushed silver or bronze chairs, cutlery, and tables for a really interesting vibe that will look great against a lush background of flowers.

5. Drape fabric
Flowers aren't really your style? No worries-- go for draped fabric at different heights all around your tent. It will create an airy, pleasant vibe for any outdoor reception. You can even put fairy lights on display for extra lighting during the night.

In order to make sure these decorating tips work, it is crucial to invest in the right size tent rentals

3 Ideas For Fun Outdoor Fall Parties

The summer is by no means over quite yet, but you can almost smell the pumpkin spice lattes of fall. From the appearance of winter squash and beets in the farmer's market, to a slight nip in the morning air, we all know that the blazing orange sun of summer is making way for the vibrant hues of fall. And what better way to celebrate than by throwing a party?

The summer is by no means over quite yet, but you can almost smell the pumpkin spice lattes of fall. From the appearance of winter squash and beets in the farmer's market, to a slight nip in the morning air, we all know that the blazing orange sun of summer is making way for the vibrant hues of fall. And what better way to celebrate than by throwing a party?

Hosting an outdoor event is a great way to get people together to enjoy nature and the open sky before everyone retreats inside against the winds of winter.

Here are some ideas for outdoor events in the autumn:

Fall Arts Competition
The craft potential for the fall is monumental -- think colorful leaf crafts, and nature collages. What better way to gather friends, family, and your community than to host a crafting event under a backyard party tent? Create tiers for the competition so that the little kids, bigger kids, teens, and adults can all enter different judging brackets, and when it's all over, make sure to display the crafts and art in local businesses, at school, or your homes.

Musician Showcase
The crisp outdoors air in the fall begs for hot cider and music. Provide both, and folding chairs, to put on a relaxing event that welcomes in the new season and celebrates life, change, and the diversity of the season. Remember, if you arrange the seats to accommodate for a performance space and aisles, there should be 8 square feet per person.

Community Service Events
The fall is the last chance to pick up all the summer litter before the winter snows cover them up and push them even farther into the soil. Get together a bunch of people, rent a tent to rally and serve everyone hot chocolate and snacks under, and get a group effort going to clean up the neighborhood in time for the holiday season.

There are tons of other outdoor events ideas for the fall, from beautiful wedding receptions (the second most popular month to get married is October), to harvest parties. Get into the swing of the season by renting a tent and celebrating with those you love.

Do Tents Come with Sidewalls?

All of our tents can have their sidewalls either open or closed. The price for most tents includes the matching sidewall for free.

This article is part of a series of posts with further explanation on many of our frequently asked questions.

We get this question or a variation of it often:

  • Do you rent canopies (without sidewalls)?
  • How much extra do sidewalls cost?
  • Are the sidewalls easy to install?
  • Can the sidewalls be rolled up?

In this post, I'll answer all of those questions. All of our tents can have their sidewalls either open or closed. The price for most tents includes the matching sidewall for free. You can also add clear or cathedral window walls for an extra fee.

When we deliver the tent, our installation crew can install some of the walls, install all of the walls or leave them onsite in case you need to install them later. The walls are designed to be attached or removed, not rolled up. If you have any further questions about tent walls, please contact us.

7 Ways to Plan a Tent Event on a Budget Video

If you have only a small budget, it doesn't mean that you can't have a beautiful event anyway. Here are my recommendations for planning a great event without breaking the bank:

This article is part of a series of posts with further explanation on many of our frequently asked questions.

If you have only a small budget, it doesn't mean that you can't have a beautiful event anyway. Here are my recommendations for planning a great event without breaking the bank:

  1. Keep it simple: Plan simple elegance. Decorations can be simple and understated.

  2. Do it yourself: Do you enjoy decorating and planning? DIY can be fun and allow you to express your creativity, but don't overdo it. Too many things to do yourself at the last minute can add more stress than it's worth.

  3. Go Natural: Let God's beautiful nature be your decorations. If you have a space with trees, grass, water or bushes, don't detract from it by over-decorating the interior of the tent.

  4. Skip the tent: Having a portion of your event under the blue sky can be both beautiful and frugal. However, always have a backup plan and a place for your guests to get out of the sun. For more information on reserving a tent only in case of rain see this page for a full explanation.

  5. Add some color: To many people's surprise our striped tents are slightly more economical to rent than all white tents.

  6. Rent frugally: Some rental choices are more affordable than others. Here are the most economical choices:

    1. Brown folding chairs

    2. Solid colored linens. They are available in 59 different colors. So, we're sure to have your color.

    3. Half length linens cost less than floor length linens.

    4. Globe lighting

    5. Fans are much less expensive than air conditioning

    6. Pole tents are much less expensive than frame tents.

  7. Ask for help: Our representatives have years of experience planning outdoor events and would be glad to review your proposal for ways to save cost.

With these tips, you can have a memorable event with some money left over for the honeymoon or to put towards your mortgage.

7 Ways to Wow Your Guests Video

The charm of an outdoor event alone is an excellent starting place, but a tent gives you so many more possibilities. The fabric of a white tent is like a blank canvas waiting for you to unleash your creativity.

The charm of an outdoor event alone is an excellent starting place, but a tent gives you so many more possibilities. The fabric of a white tent is like a blank canvas waiting for you to unleash your creativity. Here are my suggestions

  1. Lighting: The lights in your tent can set the mood for your outdoor event. If you're planning a relaxed, casual country wedding, try café lights. If you want a high energy event, try colored can lighting. Bright colors can energize your event. Amber lights will shed a soft, warm glow over your guests inside the tent.

  2. Tables: There is so much that you can do with size, placement and arrangement of tables. Randomly mixing round and rectangular tables gives your event a more casual feel. For a more country feel, try farm tables.

  3. Linens: Table linens are a great way to add color to your event and make it really "pop." Our basic solid colored linens come in 59 colors. So, we're sure to have a color you like. If you like a more country style, try burlap or panama.

  4. Chairs: Whether you're looking for an upscale chair or an inexpensive brown folding chair, we have what you need.

  5. Flooring: If the ground surface is soft, uneven or sloping, you may want to consider adding flooring and carpet to your tented event. If your event is on grass and you expect guests to be wearing heels, flooring is also a good idea.

  6. Restrooms: I'm sure you've used the basic portable restrooms that are common at outdoor events, and it's not usually a pleasant experience. Give your guests something more with our elegant restroom trailers. They include heat, air conditioning, running water and real flushing toilets.

  7. Tent sidewalls: Most of our tents come with free white sidewalls. If you'd need to close the walls, it's nice to upgrade to the cathedral window sidewalls. Everyone can see out and it allows more light into the tent.

How far ahead should I reserve my tent?

Reserving a few months ahead allows us to reserve just the size and color of tent and other rental items that you need.

This article is part of a series of posts with further explanation on many of our frequently asked questions.

We specialize in being able to serve customers at a moment's notice. However, most customers reserve weeks or months ahead of their event. Especially in our busiest months of May, June, July, September and October, this is important. Reserving a few months ahead gives you the widest selection of tents and other rental items.

If you're not sure about whether you'll need a tent because you don't know what the weather will be like, you can reserve a tent ahead of time to guarantee that it will be available and then cancel it if the weather forecast looks favorable. For more info see "What if it doesn't rain on my event?"

However, if you do have a last minute tent need, call us at 717.733.9700 and we'll do our best to help you.

Where can I find pricing information?

This article is part of a series of posts with further explanation on each of our frequently asked questions.

One of the first questions we get when people contact us is, "what is the price?" Everyone is looking for the best value. However, there are many variables in tent pricing. We have a wide range of tent sizes. Any rental of up to three days does not increase the price. However, renting longer than three days will increase the price incrementally. Also, your distance from our location can change the price as well. For this reason, we don't list our prices on our website. As a starting point, 80% of the weddings we serve cost between $350 and $5,000 total. This includes delivery, installation, all the accessories, removal and tax.

As you're comparing and looking at tent rental prices, remember that value is about more than just price. A great tent company provides:

  1. Knowledgeable, courteous, professional staff

  2. Excellent customer service

  3. Quality tents that are designed to handle all types of weather

  4. A company that has been in the business long enough to understand the industry well

  5. Good reviews from other customers

  6. A company the cleans and maintains their tents regularly

  7. Prompt response to your inquiry

  8. Integrity

  9. Flexibility for last minute changes

  10. Friendly, experienced installation crew.

  11. Someone on call 24/7/365 should any issues arise.

Can I Keep a Tent Warm in the Fall?

But, you may wonder how you will keep your guests comfortable.

Fall Tent

Fall Tent

Fall is officially here and the lovely fall colors won't be far behind. God's beautiful seasonal decorations make the perfect backdrop for your outdoor event. But, you may wonder how you will keep your guests comfortable. It's hard to believe that only a few months ago, I wrote a post about cooling a tent. Now it's time to start thinking about heating a tent. Many people ask whether a tent can really be kept warm in fall and winter. The answer is a resounding "yes." A tent is not completely airtight, but it can be heated and kept very comfortable.

So, what does it take to plan an outdoor event in cooler whether?

  1. Fall often brings windy weather. So, be sure to rent a sturdy tent from a reputable company. You want to be sure that your tent will be safe and secure.

  2. Tent sidewalls: I recommend ordering sidewalls with windows in them so that your guests can see out of the tent and not feel boxed in by the walls.

  3. Heaters: We have charts with the average low temperatures listed for each day of the year. So, we can estimate the amount of heat you will need. Keep you eye on the weather forecast though. If colder weather is predicted, you may want to add more heaters closer to your event date.

  4. A positive attitude: Embrace the fall weather and colors. Have a campfire outside the tent. Roast s'mores. Relax from the busyness of summer.

This fall, don't let the cooler weather put a damper on your outdoor event. With a little extra planning fall is a wonderful time of year for any event.

I Only Need a Tent in Case of Rain Video

Call us at 717.733.9700 or request a quote to be prepared for any type of weather.

Many people planning an outdoor event or wedding really love the outdoors. So do we. If you're an outdoors loving person, maybe you prefer to have your event outdoors with no tent at all. Maybe you like the full expanse of blue sky overhead during your wedding ceremony. Maybe you have visions of soft moonlight during your reception. Maybe you want to look up at the green canopy of trees overhead.

We understand this and we have a plan in place for you. Most summer days are lovely, warm and beautiful, but you need to plan for hot days with glaring sun or the stormy days with driving rain. That's where we come in. We allow you to reserve your tent and all the other rental items to go with it. If the weather forecast is beautiful, you can cancel the tent. There are several things you should consider when you're thinking of having a tent as a backup plan:

  • Rain isn't the only type of inclement weather. Shade from the hot sun can help keep your guests more comfortable too.

  • Even if you have your wedding ceremony outdoors, it's a great idea to rent a tent for the reception to cover the food, sound system and etc.

  • If you're planning to light the tent, plan for how you want to light the space if you don't rent a tent. Not all types of lighting work as well outside a tent.

  • You may want to rearrange your seating layout if you don't rent a tent.

  • If in doubt, rent a tent. It's much better to rent a tent and not need it than cancel the tent and wish you had it.

So, how does it all work? When you reserve, we require a 25% deposit. This guarantees that your tent will be available in case of inclement weather. However, you may cancel the tent if the weather forecast looks beautiful. You may make this decision up until 9:00 AM of the business day before delivery and save yourself the remaining 75%. If you cancel after 9:00 AM, you save 50% of the tent rental cost. There are two exceptions to this: linens need to be cancelled one day earlier than tents in order to get a 75% refund and permits are not refundable at all. This gives you peace of mind knowing that your guests will have shade from the hot sun or cover from the rain. Yet, you have the option to enjoy the beautiful outdoors. So, reserve today to plan an event that will be beautiful no matter what the weather.
