14 months to nine months before the big day:
1. Keep a wedding notebook and binder so you can put all of your inspiration in one, easy to find place.

2. Establish a budget and stick to it. You will want to make a budget as soon as possible so you don't fall in love with expensive details down the road.

3. Start the guest list. While this doesn't have to be complete, you should at least be able to establish a good idea of how many people you want there.

Project Spotlight - Tent Museum

Did you know the hottest new experience in Manhattan is a tent?

Did you know that a museum can be in a tent? This unusual museum was a multisensory experience designed to evoke feelings by sight, sound, scent, and feeling.  Its exterior changed color based on sentiments shared on social media. Inside, each room is designed to make you feel energetic, joyful, optimistic, exhilarated, or calm by turns. It was located in Lower Manhattan along the Hudson River, across the street from the World Trade Center. 

To create this unique space, Event Resources and https://www.taittowers.com/ contacted Tents For Rent to discuss partnering for this one-of-a-kind event. The idea was to create a cube-like structure instead of a traditional tent. The Palas, a new tent design from the German company, Losberger, fit the bill. Selecting a structure was only the first of many challenges:

  • The Palas needed to be customized, reengineered, manufactured, and shipped from Germany--all in less than six weeks.

  • Mere weeks before installation was to begin, no location in Manhattan had been found to host the event.

  • After a space was found, it was too small to install the tent, while still allowing space for a fire lane. To do this, we worked with Tait to build custom spacers to allow the tent to move up the steps, and out of the fire lane.

  • On the day before installation began, the engineers realized that larger plates were needed to distribute the weight of the concrete ballast and avoid damage to the subway. Tait crews worked around the clock to manufacture new plates, and saved the day. The Tents For Rent crew shifted their already tight schedule to accommodate this change.

  • After the Tents For Rent crew began measuring the space to install the tent, they discovered that the site drawing was slightly inaccurate. The position of the tent needed to be shifted again to accommodate the fire lane.

  • The work area was confined to a fenced-in area that was only slightly larger than the footprint of the tent.

  • For most of the installation, equipment had to be delivered by straight truck since semi trucks could not access the site.

  • Two guards escorted each delivery truck, to protect pedestrians.

  • Due to the height of the eaves, each arch had to be constructed and raised before the next arch could be assembled.

In spite of all these challenges, the tent was completed on time for the installation of a raised floor, lighting, scenery and heating. Special thanks to Losberger, Tait Towers, Event Resources, and the Tents For Rent team for working together to make this event a success.

Take your number of guests times 15 square feet for seating at tables, six square feet for standing areas, and eight square feet per person for the wedding ceremony itself.

4. Discuss the weather with your photographer before the ceremony so you can plan accordingly. It is important to figure out where the sun will be so you are not stuck in the shade or squinting into the sun in your pictures.

5. Don't forget the seasonal essentials, which can include sunscreen, an umbrella, scarves, and jackets.

6. Ensure your decor can withstand strong breezes. You'll also want sturdy wedding tables and chairs so nothing is blowing over during the ceremony and ruining the mood. 

7. If your wedding is large, you may need some audio visual equipment so your guests can hear you.

8. Make sure your guests are notified ahead of time about appropriate footwear for your venue. High heels and grass don't usually mix.

9. If you're choosing to do wedding pamphlets/brochures at each table, attach them to a stick to make sure they don't blow away. This also doubles as a fan for hotter days.

Here in the Northeast, there's a fair chance of rain in both months, so you'll want to make sure your party tent isn't set up in an area that collects runoff water.

Spring is in the air. And while in Texas, where I live we had a mild winter, spring is always fun because the wildflowers bloom. And of course, there are always the thoughts of the beach and the fun time it brings. 

Spring also marks the beginning of the wedding season, and if you are planning a wedding, then choosing a location is one of your first considerations. 

Just the other day, I was walking with friends on the beach, and we walked by the public beach access where a bride and groom was gathering for a wedding with their families. You could tell this was a very special moment for them. The beach venue made it extra special. Here, couples often hold their weddings on the beach and people respect them and allow them to have their space. 

What time of the year are you planning on having your wedding? The season and of course the weather along with they type of outdoor venue you select is going to play into the decision-making process. Maybe you have a large enough backyard, or maybe there is a public park or some other type of outdoor venue you want to use. The idea here is that there are many ways an outdoor wedding can help save you money. 

There can be certain inconveniences or things that must be left out. In other words, there are pros and cons. You will be watching the weather for sure, but just think about how much fun an outdoor wedding could be. You have a decision to make, so you have to weigh out the differences between an indoor and an outdoor wedding and see what you come up with.

For example, at my cousin got married in his parent's spacious backyard. And by spacious, I mean 2 acres. It's built on the last piece of land that was the family farm. And he got married in late summer of Texas. When it was still warm but not exceptionally hot. And more importantly, we didn't have to worry about storms as much. In Temperature, March through May is the best times in Texas. But between the wind and consistent stormy weather, hard to plan for an outdoor wedding. 

And they rented a giant tent to put all of the guests under so that we weren't under the direct glare of the setting Texas sun. And the altar was in the center. We all sat at tables so that we could visit before the ceremony. Then they got married and that is where we had the BBQ dinner reception.

All of our tents can have their sidewalls either open or closed. The price for most tents includes the matching sidewall for free.
